Primary
Purpose:
Maintain accurate student academic records for the campus. Conduct student registration processes that ensure accuracy and disseminate essential information to the appropriate staff members and/or departments. Perform data entry of required information for the Public Education Information Management System (PEIMS). Establish and maintain a positive, welcoming, efficient office environment.
Qualifications:
Education/Certification:
* High school diploma or GED
Special Knowledge/
Skills:
* Ability to maintain accurate and auditable records
* Ability to use software to develop spreadsheets and databases, and do word processing
* Proficient in keyboarding, 10-key numerical data entry, and file maintenance
* Ability to understand and follow detailed written and verbal instructions
* Ability to operate a multi-line phone system and campus security entry system
* Ability to meet established deadlines
* Strong organizational, communication and interpersonal skills
Experience:
* 2 years clerical experience
Major
Responsibilities and Duties:
Records and Reports
* Maintain student academic records and required PEIMS data. Process requests for student information and transcripts. Process new student records, including requesting transcripts and records from other schools. Assist new students and parents with the registration process.
* Contact parents/guardians to verify student registration information and coordinate with campus administrator(s) and counselor(s) to ensure appropriate student placement in courses. Assist parents, students, and faculty with questions regarding student PEIMS information and registration.
* Assist with the grade reporting process, including the verification and correction of grades and preparation and distribution of report cards. Provide reports regarding grade point averages, class rank, and honor rolls as needed.
* Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures.
Reception
* Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
* Greet and direct campus visitors. Assist in maintaining an accurate visitor log and issue visitor passes.
* Assist campus staff and students with problem-solving. Assist in orienting and supporting substitute teachers on campus. Assist parents in checking students in and out of school.
* Receive, sort and distribute mail, messages, documents and other deliveries.
Professional Development
* Participate in professional development to stay abreast of current PEIMS requirements and data entry procedures.
Other
* Maintain confidentiality regarding student academic, social and behavioral performance at all times.
* Establish and maintain a professional relationship and open communication with colleagues, parents, students and community members.
* Be a positive role model for students; support the mission of the school district.
* Provide clerical assistance as needed, including assisting with the scheduling of appointments, faculty meetings, conferences, and special events. Assist with the planning, preparation and setup of faculty meetings and campus events.
* Comply with state, district and school regulations and policies. Follow district safety protocols and emergency procedures.
* Perform all other duties as assigned.
Supervisory Responsibilities:
Direct the work of assigned student office aide(s), if any. Train student office aide(s) in developing an appropriate professional demeanor, communicating accurately, and maintaining confidentiality.

Days = 206 days for a full school year
Salary = $17.75-$27.60 hourly, based on experience
