ICAP Executive Search on behalf of its client, a well-established company, importer and distributor of raw materials, is looking for a driven Office & Supply Chain Administrator to join their team.

Office & Supply Chain Administrator (6232/OSCHA/ESS/GR)

The Office & Supply Chain Administrator is responsible for ensuring the smooth day-to-day operation of the office while providing administrative and operational support. This role contributes to the efficient execution of business activities by managing office procedures, coordinating communication, and supporting logistics operations.

Main Tasks
  • Manage daily administrative and office support activities to ensure smooth business operations.
  • Provide administrative support to the CEO
  • Handle incoming and outgoing correspondence, phone calls, and general office communication
  • Maintain organized filing systems, company records, contracts, and documentation
  • Coordinate office supplies, equipment, and vendor management activities
  • Manage customer orders and coordinate order processing activities to ensure timely execution
  • Communicate and collaborate closely with the warehouse team regarding order preparation, stock availability, deliveries, and operational matters
  • Monitor order flow and support coordination between commercial, warehouse, and logistics functions
  • Support invoice processing, documentation handling, and coordination with suppliers and the finance department
  • Organize meetings, appointments, travel arrangements, and calendars when required
  • Ensure a well-organized, professional, and efficient office environment
Requirements
  • Previous experience in an administrative, office support, or similar role
  • Strong knowledge of MS Office applications and ERP systems (ex. Galaxy)
  • Excellent organizational and communication skills
  • Ability to manage multiple priorities and work effectively under deadlines

    Strong attention to detail and problem-solving skills
  • Team-oriented mindset with a proactive and flexible approach
  • Good command of English language (written and verbal)
