Central Admin. Receptionist/Admin. Asst. to Dir. of Communications (26-27)

Starting Date: Jul 1, 2026

Primary Purpose

Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the central administration office.

Education and Certification Requirements
  • High school diploma or GED
Qualifications
  • 3 years of clerical experience in an office setting; school experience preferred
  • Ability to operate a multi-line phone system
  • Effective public relations, organization, communication, and interpersonal skills
  • Ability to speak, read, and understand English
  • Ability to read and comprehend instructions
  • Ability to effectively present information in one-on-one situations
  • Proficient in keyboarding, 10-key numerical data entry, and file maintenance
  • Bilingual preferred
Major Responsibilities and Duties
  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Greet visitors, respond to inquiries, and direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
  • Maintain visitor log.
  • Assist in disseminating timely and accurate information during emergency situations, and follow district safety protocols and emergency procedures.
  • Receive deliveries and disseminate materials and information to appropriate parties.
  • Prepare correspondence, forms, reports, manuals, and presentations for the District of Communications and other department staff members.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Perform routine bookkeeping tasks and maintain department budget records. Prepare and process department purchase orders and payment authorizations.
  • Order and maintain inventory of office supplies and program equipment.
  • Manage the Open Records/Public Information Act inbox and process requests to ensure departmental compliance.
  • Help maintain and coordinate the comprehensive school district calendar and Director's professional schedule.
  • Assist Director of Communications in tasks involving district communications, administrative support, and Education Foundation.
  • Attend all Education Foundation meetings, including those held outside regular business hours.
  • Assist in coordinating and executing events for the district, including end‑of‑year celebrations, convocations, and other community programs.
  • Assist with content creation and distribution for social media, websites, emails, and other communication platforms.
  • Provide clerical assistance as needed.
  • Maintain confidentiality.
  • Physical and Mental Demands
    • Standard office equipment including personal computer and peripherals.
    • Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.
    • Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching.
    • Occasional light lifting and carrying (less than 15 pounds).
    • May work prolonged or irregular hours.
    • Work with frequent interruptions; maintain emotional control under stress.
