Payroll Assistant/ Timecard Administrator

The Payroll Assistant / Timecard Administrator is responsible for supporting payroll operations through accurate timekeeping administration, employee data maintenance, and payroll-related customer service. This role serves as a key point of contact for employees regarding timecard corrections, payroll questions, and ADP system support. The position requires strong attention to detail, excellent organizational skills, and the ability to manage high volumes of data entry while maintaining payroll accuracy and confidentiality.

Essential Duties and Responsibilities

Payroll Administration

  • Set up new employees and maintain employee records within ADP.
  • Review, verify, and maintain employee timekeeping records for accuracy and compliance.
  • Assist with payroll preparation and auditing activities prior to payroll processing.

Timecard Management

  • Monitor employee timecards and attendance records daily.
  • Investigate and correct missing punches, missed clock-ins/clock-outs, and timekeeping errors.
  • Communicate with supervisors and employees to obtain accurate timekeeping information.
  • Ensure proper application of shift differentials, overtime, and premium pay where applicable.
  • Maintain accurate records of timecard corrections

Employee Support

  • Serve as a resource for employees regarding payroll and timekeeping questions.
  • Assist employees with ADP access, password resets, and self-service functions.
  • Provide guidance on payroll policies, procedures, and deadlines.
  • Maintain confidentiality when handling employee payroll information.

Administrative Support

  • Perform high-volume data entry with a strong focus on accuracy.
  • Distribute payroll checks and payroll-related documents on designated paydays.
  • File, scan, and maintain payroll and personnel records.
  • Generate payroll reports and assist with audits as needed.
  • Support HR and Payroll teams with administrative projects and special assignments.

Qualifications

  • 1-3 years of payroll, timekeeping, administrative, or HR support experience preferred.
  • Experience using ADP or similar payroll systems preferred.
  • Strong data entry and computer skills, including Microsoft Excel and Outlook.
  • Excellent attention to detail and organizational abilities.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong customer service and communication skills.
  • Ability to manage multiple priorities and meet payroll deadlines in a fast-paced environment
