Job Summary:
We are seeking a highly organized and detail-oriented Administrative Clerk to join our team at Southwest Electrical. The ideal candidate will be the backbone of the office, ensuring smooth daily operations by handling a variety of clerical tasks, managing data, and supporting staff and management. This role requires proficiency in office software, excellent communication skills, and a commitment to accuracy.
- Data & Record Management: Enter, update, and verify data in company databases and spreadsheets with high accuracy. Maintain physical and electronic filing systems, ensuring documents are archived and retrievable according to company policy. Assist in the preparation of reports, presentations, and correspondence. Assist with employees timekeeping when necessary.
- Document Preparation: Type, format, and proofread letters, memos, invoices, and other documents. Photocopy, scan, and fax documents as required. Assist with the preparation of meeting materials and minutes.
- Scheduling & Coordination: Assist in scheduling appointments, meetings, and travel arrangements for staff. Coordinate internal communications and relay messages between departments.
Education & Experience: High school diploma or equivalent required;
Associate degree in Business Administration or related field preferred but not required. 1–2 years of experience in an administrative, clerical, or office support role.

Technical Proficiency:
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software (e.g., CRM, ERP, or scheduling tools). Communication:
Excellent verbal and written communication skills; professional phone etiquette. Organization:
Strong ability to prioritize tasks, manage time effectively, and handle multiple deadlines simultaneously. Attention to Detail:
Meticulous eye for accuracy in data entry, filing, and document preparation. Problem Solving:
Ability to troubleshoot minor office equipment issues and handle unexpected situations with composure.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15-25 pounds occasionally (e.g., lifting reams of paper, mail bins).
This role is primarily office-based, requiring extended periods of computer work, regular verbal and written communication, and routine movement within the office. Occasional travel to job sites or events may be needed. The position may also involve light lifting of materials up to 15 pounds. Reasonable accommodations will be made as needed. This role requires strong mental focus, attention to detail, and the ability to manage multiple priorities while maintaining accountability and delivering results.
