Administrative Assistant III – Count Room – Michael Unit Job Summary

Provides complex administrative support in the unit count room, including dissemination of information, maintenance of filing systems, and preparation and editing of reports and documents. Performs work under general supervision with moderate latitude for initiative and independent judgment.

Essential Functions
  • A. Organizes, assigns, and reviews unit count room activities, including absentee tracking, inmate housing assignments, and classification committee records.
  • B. Coordinates with security staff to ensure accuracy of the count process and appropriate inmate housing assignments, assists in resolving errors or conflicts, and maintains the count room board display.
  • C. Compiles and enters data for accurate count room records and verifies unit strength and count information, including additions, deletions, housing assignments, custody status, job assignments, medical status, absences, and lay‑ins.
  • D. Responds to routine inquiries regarding count room rules, regulations, policies, procedures, records, and reports; assists in developing policies and procedures and recommends improvements.
  • E. Organizes, assigns, and reviews the work of others; assists in training and technical assistance.
  • * Performs additional marginal duties as assigned.
Education and Experience
  • Graduation from an accredited senior high school, equivalent, or GED.
  • One year full‑time, wage‑earning customer service, clerical, secretarial, administrative support, technical program support, or criminal justice experience. Each six months of higher education (15 semester hours) may substitute for one year of experience.
  • Correctional unit operations, computer operations, and inmate classification experience preferred.
Knowledge and Skills
  • Knowledge of office practices and procedures.
  • Knowledge of unit count room procedures preferred.
  • Knowledge of agency and departmental structure, policies, procedures, rules, and regulations preferred.
  • Strong communication skills—clear, concise instructions.
  • Coordination skills with staff, departments, officials, agencies, organizations, and the public.
  • Ability to interpret and apply rules, regulations, policies, and procedures.
  • Problem‑solving techniques.
  • Computer skills, including stand‑alone and LAN environments.
  • Record, file, and report preparation and maintenance.
  • Planning skills for work organization and assignment.
Additional Requirements
  • Physical ability to walk, stand, sit, kneel, push, stoop, reach above shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, and operate a motor vehicle and equipment.
  • Ability to work inside, around machines, radiant and electrical energy, with others or alone, protracted or irregular hours, and travel by car, van, bus, airplane.
  • Use of computer equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
