Position

Administrative Support Specialist

Summary

The Administrative Support Specialist provides operational and administrative support to Japanese staff and visiting business partners while assisting with internal administrative functions. This role requires strong organizational skills, bilingual communication abilities, and the capacity to manage a variety of administrative tasks in a multicultural office environment.

Essential Duties
  • Perform data entry and maintain accurate documentation, including processing inventory transfers and return processing.
  • Organize and maintain documentation required for audit reviews.
  • Maintain and update master data in the ERP system, including product information and new employee information.
  • Provide support related to tax filings and related administrative tasks.
  • Prepare and configure newly purchased computers for new employees.
  • Compile, analyze and prepare sales data reports.
  • Provide day-to-day administrative and communication support for Japanese staff members.
  • Coordinate transportation and logistics for business visitors from Japan.
  • Assist in the production and coordination of promotional materials.
  • Manage outgoing mail and shipping processes.
  • Prepare and coordinate shipments of materials for trade shows.

Qualifications
  • Native-level proficiency in Japanese and business-level proficiency in English.
  • Intermediate proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook).
  • Strong organizational and multitasking skills with the ability to manage multiple priorities.
  • Ability to work effectively in an office environment.
  • Excellent communication and coordination skills, particularly in a multicultural workplace.
