Noveria Energie GmbH has been developing a portfolio of large-scale battery energy storage (BESS) facilities in Germany since 2023. Noveria is based in Baden-Württemberg, Germany with support from the office in Dublin, Ireland. The Administrative Assistant will be at the center of a growing business, collaborating with various teams, organizing key processes, and making sure nothing falls through the cracks. Your work will help our team move quickly and efficiently as we develop and deliver BESS projects across Germany. You'll be part of a collaborative, international team where your organizational skills and attention to detail will have a direct impact on our ability to grow and succeed.
- Support setup of new entities, liaising with internal teams and external notaries, ensuring accurate documentation.
- Prepare and maintain official company documents, meeting minutes, and compliance filings.
- Manage NDA contract administration, including liaising with legal counsel and internal stakeholders.
- Support invoicing and financial administration through review and upload invoices into a third-party accounting system.
- Assist our international team with banking processes, including opening accounts, providing user access, and liaising with financial teams
- Open incoming post, scan and route paper invoices, upload documents to SharePoint, and maintain organized digital and hard-copy records.
- Regularly update the Noveria organizational chart
- Support procurement and setup of IT equipment, including laptops and warranty management for new hires
- Provide general office administrative support as needed –
Note:
Noveria works out of a shared office where desks, printers, coffee, water, cleaning etc. are taken care of - Liaise with internal teams and external partners, ensuring timely completion of administrative processes in German and English.
- Coordination and booking of accommodations, meeting rooms, and internal team events, considering calendar availability, travel needs, and organizational requirements.
- Taking care of the onboarding process for new employees including setting up a timetable, organizing accounts for all programs and tools
The position will be onsite at our Freiburg office, three days per week from 09:00 – 13:00. You are an experienced administrative professional with strong attention to detail, excellent organizational skills, and proficiency in both German and English to navigate local regulations, banking, and administrative processes efficiently.
- At least 5+ years of prior administrative experience in a professional or corporate setting
- Proficiency with Microsoft 365 (Word, Excel, SharePoint, Teams) and document management tools
- Native or C1-level German proficiency (spoken and written)
- Minimum B2-level English proficiency (spoken and written)
- Strong organizational skills with ability to manage multiple tasks simultaneously.
- Proven experience preparing business documents, contracts, and meeting minutes.
- Comfort with handling sensitive and confidential information
- Experience with financial or legal administrative processes in Germany
- Prior experience supporting multinational teams preferred
- Basic IT procurement and setup knowledge (e.g., laptops, software licenses)
