Brief

Job Description

Assists Regional Business Services Officers in handling and resolving facility issues. Acts as the Local Office Coordinator or backup, monitors and processes repair calls, assigns work tasks, and manages inventory activities. Maintains records, prepares routing reports, handles shipping requests, and performs receptionist, switchboard, warehouse, and mailroom/copy center duties. Processes purchase requests and performs administrative work.

Essential Job Functions (EJFs)
  • Attend work on a regular schedule and perform other duties as assigned.
  • Monitor requests and assign work tasks for facility maintenance and repair issues; ensure timely and satisfactory disposition with lessors and vendors. (30%)
  • Perform administrative or support work such as drafting correspondence, tracking assignments, maintaining records, completing forms and reports, and explaining rules and procedures. (25%)
  • Develop and maintain reports for regional facilities, contracts, and leases; respond to facility-related information requests. (10%)
  • Communicate with internal and external stakeholders to provide, exchange, or verify information, answer inquiries, and resolve problems or complaints. (15%)
  • Assist in office moves, physical inventory, warehouse operations, and receptionist/switchboard duties. (10%)
  • Provide basic technical assistance on policies, procedures, rules, regulations, or standards to staff, contractors, and other organizations. (5%)
  • Assist in developing standards or procedures for the assigned area. (5%)
Knowledge, Skills, and Abilities (KSAs)
  • Knowledge of modern office practices, procedures, and office equipment.
  • Knowledge of agency policies, procedures, and the ability to interpret them.
  • Skill in using standard agency computer hardware and software (e.g., Microsoft Office Suite).
  • Skill in organizing and prioritizing workload.
  • Skill in managing multiple priorities.
  • Ability to communicate effectively orally and in writing.
  • Ability to prepare concise reports.
  • Ability to develop and maintain effective working relationships with internal and external customers.
  • Ability to operate motor vehicles including cargo trucks and vans, and pull a trailer in accordance with traffic regulations.
  • Ability to lift, pull, push, and carry 50 lbs.
  • Ability to operate a forklift and pallet jack.
Qualifications and Experience
  • High School diploma or GED required.
  • Experience using office equipment such as copiers, fax machines, and telephones.
  • Experience with Microsoft Office applications.
  • Effective written communication skills.
  • Experience performing administrative tasks.
Licensure and Certifications

Valid Class C Texas Driver’s License.

Additional Information and Compensation

Salary range: $3,337.17 to $4,365.66 per month. Former and current HHSC employees may be offered a higher salary above $3,337.17; non-employee applicants will receive the base rate. Only employees promoting into this position will receive a salary in accordance with Human Resources salary guidelines. Applicants with recent comparable experience may also be offered a higher salary.
