Primary
Purpose:
Provide administrative, clerical, and organizational support for the Student Services Department and the District Alternative Education Program. The Secretary of Student Services and DAEP will assist with daily office operations, student records, parent communication, discipline documentation, program coordination, and other duties necessary to support the efficient operation of student services and DAEP.
QualificationsEducation/Certification:
- High school diploma or GED required
- Associate degree or college hours preferred
Special Knowledge/
Skills:
- Strong organizational, communication, and interpersonal skills
- Ability to maintain confidentiality of student, parent, and employee information
- Ability to manage multiple priorities and meet deadlines
- Knowledge of general office procedures and equipment
- Proficiency with Microsoft Office, Google Workspace, and district information systems
- Ability to communicate professionally with students, parents, staff, administrators, and outside agencies
- Ability to maintain accurate records and prepare reports
- Bilingual preferred
Experience:
- Minimum of 2 years of clerical/secretarial experience preferred
- Experience in a school district, facilities/maintenance, construction office, or service dispatch environment preferred
Administrative and Clerical Support
- Serve as the primary clerical support for the Student Services Department and DAEP.
- Answer phones, greet visitors, respond to inquiries, and provide assistance in a professional and courteous manner.
- Schedule meetings, prepare agendas, maintain calendars, and assist with department communication.
- Prepare, organize, copy, scan, file, and distribute documents as needed.
- Maintain department files, student records, correspondence, forms, and reports.
- Assist with purchase orders, requisitions, supplies, invoices, and department budget documentation as assigned.
Student Services Support
- Assist with maintaining records related to student services, enrollment support, transfers, discipline, residency, attendance, truancy, homeless/foster care support, and other student-related programs as assigned.
- Support communication with parents, campuses, administrators, and community agencies.
- Assist with data entry, tracking, and reporting for student services programs.
- Prepare letters, notices, forms, and other documents related to student services.
- Maintain confidentiality and ensure records are handled in accordance with district policy and legal requirements.
DAEP Support
- Assist with intake, withdrawal, and transition processes for students assigned to DAEP.
- Maintain accurate DAEP student records, placement documentation, attendance information, discipline records, and related files.
- Communicate with campuses, parents, and staff regarding DAEP placement, required documentation, transportation, attendance, and student status.
- Assist with preparing DAEP reports, rosters, schedules, and correspondence.
- Support daily DAEP office operations and assist with monitoring student paperwork and program requirements.
- Maintain organized records for student entry, progress, and return-to-campus processes.
Communication and Customer Service
- Communicate effectively and professionally with students, parents, staff, administrators, and outside agencies.
- Maintain a welcoming and service-oriented office environment.
- Respond to requests for information in a timely and accurate manner.
- Route sensitive or urgent matters to the appropriate administrator.
Records, Compliance, and Confidentiality
