Administrative Assistant

The Breckenridge Police Department is seeking a highly organized, detail-oriented Administrative Assistant to provide essential administrative, financial, and records management support. This position plays a key role in ensuring the efficient daily operation of the department by coordinating administrative functions, maintaining official records, and supporting department personnel.

Essential Duties and Responsibilities:
  • Process departmental personnel documentation and maintain confidential personnel records.
  • Maintain pending litigation files and other sensitive legal and administrative records.
  • Assist with public information requests in accordance with the Texas Public Information Act and applicable laws.
  • Coordinate daily with the City's Finance Department regarding accounts payable, purchase orders, requisitions, vendor accounts, invoices, and financial reconciliation.
  • Manage procurement activities by processing purchase orders, communicating with vendors, routing invoices for payment, and administering employee reimbursement requests.
  • Maintain and archive contracts, leases, memorandums of understanding (MOUs), interlocal agreements, legal documents, and other official departmental records.
  • Coordinate scheduling and logistics for departmental meetings, training, community outreach events, and public appearances.
  • Provide administrative support to department leadership and staff while maintaining a high level of professionalism and confidentiality.
  • Perform other related duties as assigned to support the mission and operations of the Breckenridge Police Department.
Preferred Qualifications:
  • Excellent organizational, communication, and time management skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in Microsoft Office Suite and the ability to learn department-specific software.
  • Strong attention to detail with the ability to prioritize multiple projects and meet deadlines.
  • Experience working in an administrative, municipal government, public safety, or law enforcement environment is preferred but not required.

The City reserves the right to allow an employee to obtain licenses/certifications during a reasonable timeframe agreed to in writing (unless otherwise prohibited or limited by law) as a condition of continued employment. Failure to obtain the licenses/certifications as agreed will result in termination.
