Administrative Assistant
The Breckenridge Police Department is seeking a highly organized, detail-oriented Administrative Assistant to provide essential administrative, financial, and records management support. This position plays a key role in ensuring the efficient daily operation of the department by coordinating administrative functions, maintaining official records, and supporting department personnel.
Essential Duties and Responsibilities:- Process departmental personnel documentation and maintain confidential personnel records.
- Maintain pending litigation files and other sensitive legal and administrative records.
- Assist with public information requests in accordance with the Texas Public Information Act and applicable laws.
- Coordinate daily with the City's Finance Department regarding accounts payable, purchase orders, requisitions, vendor accounts, invoices, and financial reconciliation.
- Manage procurement activities by processing purchase orders, communicating with vendors, routing invoices for payment, and administering employee reimbursement requests.
- Maintain and archive contracts, leases, memorandums of understanding (MOUs), interlocal agreements, legal documents, and other official departmental records.
- Coordinate scheduling and logistics for departmental meetings, training, community outreach events, and public appearances.
- Provide administrative support to department leadership and staff while maintaining a high level of professionalism and confidentiality.
- Perform other related duties as assigned to support the mission and operations of the Breckenridge Police Department.
- Excellent organizational, communication, and time management skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite and the ability to learn department-specific software.
- Strong attention to detail with the ability to prioritize multiple projects and meet deadlines.
- Experience working in an administrative, municipal government, public safety, or law enforcement environment is preferred but not required.
The City reserves the right to allow an employee to obtain licenses/certifications during a reasonable timeframe agreed to in writing (unless otherwise prohibited or limited by law) as a condition of continued employment. Failure to obtain the licenses/certifications as agreed will result in termination.
