Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the campus administration office.
QualificationsEducation/Certification:
- High school diploma or GED
- Active commission as a Texas Notary Public (preferred)
- Bilingual (preferred)
- Enthusiastic personality and superior interpersonal skills to relate well with students, staff, administration, parents, and the community
- Ability to manage difficult and emotional situations
- Proficient word processing and file maintenance skills
- Effective organizational and communication skills
- Ability to use personal computer and software to develop spreadsheets, databases, and documents
- Knowledge of basic accounting principles
- Ability to perform the job responsibilities at a high level
- Bilingual strongly preferred
1-3 years of secretarial experience, preferably in public education environment; or 15 semester hours of college credit with some business orientation or equivalent business school background
Major Responsibilities and Duties- Compose and type correspondence, memoranda, reports, forms, and similar materials in final form and submits to appropriate entity.
- Prepare instructional materials, meeting agendas, honor rolls, and campus communication as requested, using a personal computer.
- Maintain a daily teacher attendance log and records and coordinates appropriate coverage of substitute teachers.
- Monitor and process personnel time records including leave requests and reports. Compile information and submit to district administration according to established deadlines.
- Maintain school calendar of events.
- Serve as a notary public for office and faculty for documents related to school business.
- Student enrollment/withdrawal
- Schedule meetings and appointments and maintain calendar for principal.
- Assist students, teachers, and parents, as needed.
- Act as a receptionist, greeting visitors, answering telephone calls in a pleasant and efficient manner and communicate effectively in routine, sensitive, and confidential matters.
- Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication.
- Update handbooks, policy manuals, and other documents, as assigned.
- Perform routine bookkeeping tasks including simple arithmetic operations to maintain campus budget records.
- Prepare requisitions and process purchase orders.
- Order, receive, store, issue, and maintain inventory of supplies and equipment.
- Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity checkbook(s) and ledger(s).
- Assist with coordination of faculty meetings and campus activities.
- Assist with campus budget preparation.
- Maintain inventory of fixed assets, equipment, and supplies.
- Issues office keys and keys to secured areas.
- Sort, distribute, and deliver mail and other documents.
- With proper training, administer medication to students, check temperatures, and notify parents of student illness in nurse's absence.
- Monitor 2-way radio base unit for campus administration and custodial staff.
- Receive confiscated electronic devices and maintain proper paper work.
- Maintain confidentiality of students, parents and staff.
- Determine priorities and maintain efficient office operations to ensure a timely accomplishment of tasks.
- Answer questions that require a detailed knowledge of school procedures.
- Perform other related tasks assigned by the principal.
