The Police Records Clerk - Records types, files, reviews, maintains and researches criminal case report information to assist case disposition. The Records Clerk position is under the direct supervision of the Office Manager.
EXAMPLES OF ESSENTIAL FUNCTIONSThe following tasks are typical for positions in this classification. Any single position may not perform all these tasks and/or may perform similar related tasks not listed here:
- Prepares correspondence, reports and records of both a routine and non-routine nature.
- Provides customer service by handling inquiries and telephone calls, directing calls to appropriate personnel, and greeting and directing office visitors.
- Collects information from walk-in citizens wanting to report a criminal offense and creates a Call for Service for an officer response through our CAD System.
- Assists in the preparation of monthly, quarterly and annual reports for the department administration.
- Receives and prepares the release of Open Records requests.
- Maintains department records and reports; prepares and distributes records for the District Attorney’sOffice.
- Monitors department’s video systems (mobile, body-cam and office surveillance) for open records and submission to the District Attorney’sOffice.
- Make effective decisions without constant supervision
- Prioritize heavy workload effectively
- Interact effectively with City department heads, and other City employees
- Legibly handwrite telephone and verbal messages
- Operate personal computer, typewriter, and other office machines, such as calculator and fax machine
- Type forms, charts, statements, letters and various legal documents as required
- Search files
- Read proofs
- Accept and receive monies
- Performs related work as required.
- Sit for extended periods of time while doing word processing or dataentry
- Regular and timely attendance
- Will be required to be a Notary Public
- Sortmail
- Personal computer skills, use of internet, electronic mail, and network
- Provide services to the general public when emergency conditions warrant it, either in preparation for, or as a reaction to, one or more disastrous events such as: a civil disturbance, hurricane, tornado, earthquake, flood, ice storm, fire, chemical accident including a hazardous material spill, possible public exposure to hazardous conditions, or other disasters which threaten the safety of the citizens

- Education and Experience:
- High school diploma
- Courses from accredited high school, college, or business college
- Texas Driver License
Any work-related experience resulting in acceptable proficiency levels in the above
Minimum Qualifications may be an acceptable substitute for the above specified education and experience requirements.
- Knowledge, Skills, and Abilities:
- Understand and apply modern office methods, procedures and equipment
- Microsoft Office Suite (Outlook, PowerPoint, Word and Excel)
- Recordkeeping and retention policies and practices.
- Experience in prioritizing, planning, and scheduling
- Work independently in the absence of specific instructions or supervision
- Operate personal computer equipment
- Use tact and diplomacy with the public and maintain effective working relationships withco-workers
- Interpersonal skills necessary to develop and maintain effective and appropriate working relationships
- Performing a variety of duties, often changing from one task to another ofa
different nature
- Meet schedules and deadlines of the work; work independently andmulti-task
- Understand and carry out oral and written directions
- Accurately organize and maintain paper documents and electronic files
- Maintain the confidentiality of information and professional boundaries
- Physical Requirements:
- Some tasks involve the regular, and at times sustained, performance of heavier physical tasks such as walking over rough or uneven surfaces, bending, stooping, working in confined spaces, and lifting or carrying moderately heavy (20-50 pounds) items
