We are seeking a proactive and resourceful Office Operations Manager to oversee day-to-day field and administrative operations of our Texas office. This role will act as the central point of coordination between field operations, vendors, and internal teams while ensuring the office runs efficiently and supports our growing workforce. This is a high-impact role for someone who thrives in a startup environment and is comfortable taking ownership of both administrative and operational responsibilities.
CoreResponsibilities Field Operations Coordination
- Field Operations Liaison: Serve as the central operational link for the XFO field team by streamlining communications, tracking inquiries, and escalating issues.
- Demo & POC Coordination: Drive end-to-end logistics for Proof of Concepts (POCs) and product demos, taking ownership of scheduling, day-of coordination, and testing support.
- Vendor & Contractor Management: Coordinate external contractors, service providers, and site build-outs, managing complex schedules, site access, and project timelines.
- Operational Support: Support the Head of Field Operations with process tracking, reporting, and operational documentation.
- Facilities & Environment: Oversee day-to-day facilities and internal workflows to maintain a highly efficient, organized, and welcoming office environment.
- Procurement & Inventory: Manage the procurement and logistics of supplies, inventory, and equipment to support both office and field operations.
- Cross-Functional Communication: Act as the primary point of contact for internal meetings, cross-functional stakeholder communication, and general front-office inquiries.
Minimum Qualifications:
- Founder’s mentality:
Proactive, adaptable, and comfortable building processes in a fast-paced, high-growth environment. - 3-5+ years of experience in office management, operations, or administrative leadership
- Strong ability to prioritize, problem-solve, and take initiative
- Excellent communication and stakeholder coordination skills
Preferred Qualifications:
- Experience managing vendors, contractors, or projects is highly preferred
- Familiarity with procurement, inventory management, or logistics
- Ability to work cross functionally with operations, finance, sales, and HR teams
