The Safety Administrator plays a vital role in supporting our company's safety operations by managing and maintaining comprehensive safety documentation, including training records, compliance reports, and incident logs. This position is responsible for coordinating the logistics of safety training programs, ensuring accurate tracking and timely updates of certifications and participation. While primarily focused on administrative duties, the Safety Administrator also provides supervised field support, gaining hands-on experience and developing a foundational understanding of site safety protocols and practices.
This role serves as an entry point into the safety profession, offering exposure to both office and field environments within a collaborative and safety-driven culture.
- Safety File Management:
Organize, file, and maintain all safety-related documents, including training logs, incident reports, inspection checklists, and permits. - Compliance Documentation:
Assist the Safety Manager in preparing and submitting required regulatory forms and ensuring all permits are current. - Safety Data Sheets (SDS):
Maintain an organized, accessible, and up-to-date library of SDS for all chemicals and hazardous materials on site. - Equipment and Maintenance Logs:
Track and maintain records for safety equipment inspections, certifications, and maintenance schedules (e.g., fire extinguishers, first aid kits). - Data Entry and Analysis:
Input data from daily reports and inspection checklists into a safety management system or spreadsheet to help track trends and metrics. - Training Coordination:
Schedule, set up, and document safety meetings, toolbox talks, and new-hire orientations. - New Hire Onboarding:
Assist in the safety orientation process for new workers and subcontractors, ensuring all required paperwork is completed and logged. - Correspondence:
Draft and distribute safety-related communications, posters, alerts, and meeting minutes as directed by the Safety Manager. - Inventory Management:
Manage the inventory of Personal Protective Equipment (PPE), safety manuals, and training materials, ensuring items are stocked and accessible. - Site Walk-Through Assistance:
Accompany the Safety Manager with onsite inspections to take notes, document observations (photos), and help distribute materials. - Hazard Documentation:
Assist in documenting identified hazards and ensuring that corrective action notices are issued to the responsible parties and tracked until completion. - Checklist Management:
Distribute, collect, and review daily/weekly safety checklists from foremen and supervisors for completeness. - Basic Auditing:
Verify that workers have the necessary certifications or training for the tasks they are performing.
- Bachelor's degree in Safety, Environmental Health & Safety, Occupational Health and Safety, or a related field
- 0-2 years of job-site safety experience, or a combination of education and experience
- General knowledge of construction principles and practices required
- Field and on-site safety experience is a plus
- OSHA 30-Hour Construction accreditation preferred
- OSHA 500 Outreach Trainer certification is a plus
- Electrical and/or lift safety experience preferred
- Bilingual in Spanish is a plus
- Willingness and ability to travel regularly
- Strong computer skills, including proficiency in Microsoft Office
- Excellent problem-solving skills with a flexible and adaptable approach to working with diverse teams
- Experience working with subcontractors, subcontracts, and/or self-perform work is a plus
- Creative, results-oriented, and highly self-motivated
- Strong work ethic and ability to work independently or as part of a team
- Physically capable of walking job sites, climbing ladders and multi-floor scaffolding
- Ability to lift objects up to 50 lbs.
