The Manager of Rentals & Events supports the Director of Rentals & Events by managing the day‑to‑day coordination, administration, and execution of assigned rental and special events s role serves as a key operational partner, ensuring that event logistics, contracts, financial documentation, and internal communications are executed accurately and efficiently.
With a focus on operational excellence, client service, and cross‑departmental coordination, the Manager of Rentals & Events ensures that events are delivered smoothly from contract execution through post‑event settlement, providing internal teams with the information and support they need to succeed.
How You Will ContributeKey Responsibilities Event Coordination & Execution
- Serve as the day‑to‑day manager for assigned rental events from contract execution through post‑event settlement.
- Coordinate all event logistics, including schedules, staffing needs, security, concessions, catering, housekeeping, volunteers, transportation, and other client or artist accommodations.
- Support on‑site event operations assigned, serving as an OTG liaison during events to ensure client and operational needs are met.
- Provide operational backup to the Director of Rentals & Events and other department leaders during peak activity periods.
- Act as a secondary point of contact for clients, responding to inquiries and ensuring timely, professional communication before, during, and after events.
- Partner with the Operations team to ensure patron and client needs are met and service expectations are exceeded.
- Prepare and process rental contracts, event orders, permits, and related documentation under the guidance of the Director of Rentals & Events.
- Prepare invoices, track receivables, and assist with final settlements for rental events in coordination with Finance.
- Enter, maintain, and manage event data; assist with post‑event reporting, evaluations, and revenue tracking.
- Assist with licensing and compliance documentation, including ASCAP, BMI, and state revenue reporting requirements.
- Maintain and update the OTG master events calendar, ensuring accurate and timely distribution of event details to internal departments.
- Coordinate staff, artist, and client parking logistics for the theatre and surrounding areas as needed.
- Ensure all internal stakeholders have the information required to plan and execute events effectively.
- Proven experience in event coordination, venue operations, or event management with a strong emphasis on customer service excellence.
- Demonstrated ability to manage multiple events and deadlines simultaneously while maintaining attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new software systems.
- Experience in using rentals and event management software (e.g., Momentus) preferred.
- Strong organizational, communication, and problem‑solving skills.
