The Challenge (Job Summary)

As a Medical Receptionist
, you'll play a critical role in creating a positive first impression for patients, families, and visitors. You will serve as the primary in-office point of contact for patients, visitors, and caregivers by providing consistent, in-person support and assistance throughout the patient visit. Greet and check in patients, answer questions, provide information regarding appointments and office procedures, direct patients to appropriate clinical or administrative staff, and facilitate communication between patients and the healthcare team to ensure a positive patient experience and efficient office operations.

This position supports efficient practice operations by ensuring accurate patient information, facilitating communication between patients and clinical teams, and promoting a welcoming, professional environment. Through attention to detail and a patient-centered approach, you will contribute directly to the overall patient experience and operational success of the practice.

Key Responsibilities &

Essential Functions:
  • Greet patients, visitors, and vendors in a courteous, professional, and timely manner.
  • Register patients and verify demographic, insurance, and contact information for accuracy.
  • Collect co-payments, balances, and other patient financial responsibilities in accordance with organizational policies.
  • Answer and direct incoming telephone calls while providing accurate information and exceptional customer service.
  • Schedule, coordinate, confirm, and reschedule patient appointments according to practice guidelines.
  • Assist patients with completing required registration forms and documentation using electronic or paper-based systems.
  • Maintain physician schedules and ensure appointments are appropriately booked and managed.
  • Coordinate referrals, testing, procedures, and appointments with specialists and external healthcare providers as directed.
  • Scan, upload, fax, and manage patient records and other documentation within the electronic medical record system.
  • Assist in obtaining outside medical records, laboratory results, imaging reports, and consultation notes.
  • Monitor patient flow and communicate delays, scheduling concerns, or operational issues to appropriate staff.
