As a Staffing Supervisor you'll contribute to our success in the following ways:
- Ensures that all activities performed align with the vision of Elara Caring's board of directors, executive team, and the leadership of the Personal Care Services team
- Oversee daily scheduling and high-volume dispatching of caregivers across multiple service areas, ensuring coverage aligns with client needs and care plans.
- Coordinate last-minute changes, cancellations, and emergency coverage with professionalism and efficiency.
- Maintain accurate caregiver availability records, optimize staff utilization, and ensure schedules comply with state regulations and company policies
- Serve as the primary contact for caregivers and clients regarding scheduling updates; respond promptly to phone, text, and digital communications
- Collaborate with branch leadership to identify staffing trends, anticipate shortages, and implement proactive solutions
- Accurately document schedule updates and staffing actions in the scheduling system
- Partner with HR and Recruiting to support onboarding, availability updates, and retention strategies
- Train and support dispatch staff; provide guidance to caregivers on schedule-related concerns in a professional, supportive manner
- Participate in weekend/holiday rotations and after-hours/on-call coverage as required
- Promotes Elara Caring's philosophy, mission statement, and administrative policies to ensure quality of care
- Maintains patient and staff privacy and confidentiality pursuant to HIPAA Privacy Final Rule
- Performs other duties/projects as assigned
What is Required?
- 60 hours of college from an accredited university or 2 years supervisory experience in a healthcare setting is required
- Minimum 2 years of experience in staffing, scheduling, or dispatching in a high-volume environment (home care, healthcare, call center, transportation, or related field preferred).
- Excellent computer skills and knowledge required
- Proficiency in scheduling software, workforce management systems, or similar technology
- Strong written/verbal communication skills and ability to collaborate with cross functional teams
- Demonstrated ability to manage 300+ schedules or service calls daily with accuracy and timeliness
- Must be organized and able to multitask in a fast-paced environment
- Working knowledge of Medicaid, home care benefits, policies and procedures preferred
- Must have a dependable vehicle, a valid driver's license, and current auto insurance in accordance with the laws of the State
- Meets all applicable agency policies and procedures related to health screening and required testing
