Job Overview
The Marketing Assistant is a highly organized and dependable support role to the marketing team. This role involves assisting in various marketing initiatives, managing departmental schedules, coordinating events, and handling financial tasks and data entry with accuracy.
Essential Duties & Responsibilities- Represent the Marketing Department in interactions with other departments, external vendors, and contacts on all marketing initiatives.
- Consistently use independent discretion and sound judgment by identifying urgency and priority to accomplish the department's goals.
- Manage the Marketing Department’s business opportunities, schedules, calendars, and commitments for optimum performance.
- Plan, coordinate, and manage special and recurring events, such as Representative Meetings, Distributor Events, Special Events, and Educational Programs activities.
- Manage, plan, and oversee the Marketing Department’s travel budget, ensuring all travel expenses remain within budgeted limitations.
- Perform accurate data entry into the Sales and Marketing Intelligence System.
- Actively participate as a staff member of Educational Programs, including event coordination, document preparation, and participant communication.
- Accurately track Marketing Initiatives and Activities, including campaigns, to ensure full utilization of sales and marketing resources.
- Execute accounting functions related to Marketing Activity, ensuring accurate processing of marketing-related invoices, check requests, and certification of expenses.
- Assist in preparing and publishing sales bulletins, product information brochures, websites, social media content, press releases, and similar materials for all division brands.
- Document all department processes and procedures and ensure appropriate individuals are trained and cross‑trained as needed.
- Ensure adherence to and knowledge of all ISO processes, procedures, flowcharts, and quality policy.
- Perform any other duties assigned.
- Bachelor’s degree in marketing or business (preferred; not required).
- 1–2 years of previous experience in administrative support, marketing assistant, or a similar role.
- Familiarity with CRM and marketing software tools.
- Additional certifications in Marketing, Data Management, or CRM tools.
- Previous experience in campaign management or data coordination roles.
- Experience with event planning and coordination.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Proficiency in graphic design software (e.g., Adobe Creative Suite).
- Basic understanding of social media platforms and content creation.
- Complete assigned marketing tasks and projects with on‑time delivery.
- Process marketing-related invoices, check requests, and certify expenses promptly, ensuring all entries are accurate and properly documented.
- Ensure marketing collateral and sample kits are shipped on or before the requested deadlines, with accurate tracking and confirmation of deliveries.
Limited travel may be required for supporting marketing events, team meetings, and client engagements, with frequency based on project needs and departmental requirements.
