Position Summary
The Volunteer Coordinator is a part‑time role primarily responsible for developing, implementing, and managing the volunteer program and overall volunteer experience at Down Home Ranch. In addition to driving volunteer engagement, this role works collaboratively to provide essential administrative support that advances the Development team’s overall goals, ensures smooth daily operations, assists with database maintenance, and helps execute fundraising initiatives. This position requires an elevated level of initiative, organization, and collaboration.
Key Responsibilities Volunteer Program Development & Coordination- Program Leadership: Develop, implement, and lead diverse individual and group volunteer opportunities and program initiatives.

Experience:
Design and oversee a meaningful, engaging, and well‑structured volunteer experience from onboarding through to recognition. - Internal Liaison: Serve as the primary liaison between volunteers and program staff to effectively meet the ranch’s daily needs.
- Onboarding & Compliance: Work closely with HR to coordinate volunteer screening and ensure all individual and group compliance requirements are completed before service begins on the ranch.
- On‑Site Hosting: Lead volunteer orientations, ranch tours, and safety briefings for arriving individuals and service groups.
- Relationship Management: Cultivate and maintain strategic relationships with individual volunteers, corporate groups, and community partners to support the ongoing growth and visibility of the program.
- Metrics & Reporting: Track, analyze, and report volunteer engagement metrics, hours, and data.
- Team Strategy: Provide administrative support to collaboratively advance the Development team’s collective goals and fundraising strategies.
- Database Maintenance: Assist with the donor database, supporting timely gift entry, data integrity, and record maintenance.
- Donation Processing: Process financial donations and support timely donor acknowledgments and correspondence.
- Campaign Coordination: Coordinate the production and distribution of stewardship outreach and fundraising appeals, including the annual gala and year‑end campaigns.
- Event Logistics: Support fundraising events and outreach initiatives with direct logistical coordination and represent Down Home Ranch through community presentations as needed.
- Age & Background: Minimum age of 21; must possess an excellent driving record and be able to pass an extensive background investigation.
- Education: Bachelor's Degree from an accredited college or university, or equivalent professional experience.
- Software
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience or comfort working with database/software tracking systems is required (experience with fundraising software such as Neon One, Donor Perfect, or Raiser’s Edge is a plus). - Communication & People
Skills:
Strong public speaking and interpersonal skills; entirely comfortable presenting to and leading diverse groups of volunteers. Excellent writing, editing, and professional communication skills. - Physical Demands: Ability to walk across uneven ranch terrain, work outdoors during seasonal weather conditions for volunteer projects, and occasionally lift/move up to 30 lbs.
- Core Competencies: Detail‑oriented, works well under pressure, takes initiative to solve problems, meets deadlines, and provides exceptional customer service to volunteers, donors, and community members.
- Mission Alignment: Comfortable working closely with individuals with intellectual and developmental disabilities or other vulnerable populations, showing a deep commitment to their quality of life.
- Compliance: Ability to read and comply with all company policies (such as the DHR Employee Handbook) and maintain strict confidentiality under HIPAA statutes.
