JOB SUMMARY

The Accounting Specialist I provides foundational accounting and financial support services to the Health Services Department, with primary responsibility for supporting Medicaid and administrative assistant to Health Services Administrator. This position performs routine to moderately complex accounting tasks in accordance with established procedures and timelines and provides direct operational support to the Whole Child Nurse Administrator.

The Accounting Specialist I role emphasizes accuracy, timeliness, confidentiality, and adherence to fiscal controls. Work is performed with increasing independence as knowledge and proficiency grow, while operating within established policies, procedures, and internal controls.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Processes accounts payable, accounts receivable, and related Medicaid financial transactions in accordance with district policies and procedures.
  • Records and reconciles receipts to ensure accurate and complete accounting of district funds.
  • Assists with grant budget tracking to ensure expenditures align with grant guidelines and timelines.
  • Provides backup support for payroll and accounts payable functions as assigned.
  • Assists with preparation of financial documentation for audits, pre-audits, and internal reviews.
  • Works with auditors by compiling records, reports, and supporting documentation as requested.
  • Maintains accurate, organized, and audit-ready financial records.
  • Supports preparation of periodic financial reports for internal use and board reporting.
  • Communicates with program directors, administrative assistants, and department staff regarding account balances, expenditures, and procedural questions.
  • Maintains confidentiality and exercises professional judgment when handling sensitive financial and personnel information.
  • Participates in professional development to maintain and improve accounting knowledge and skills.
  • Ability to travel between work sites/locations; must provide own reliable transportation.
  • Reports safety, sanitary and fire hazards immediately to the supervisor.
  • Interacts thoughtfully and courteously with students, staff, administrators, and parents and resolves conflict in a professional manner.
  • Communicates clearly with coworkers and other staff.
  • Dress appropriately for the position.
  • Understands, follows, and applies all relevant ESD policies and procedures
  • Provide impeccable customer service.
  • Appropriately maintains and secures confidential records and inquiries.
  • Professionally represents the school and the ESD in interactions with parents, community, staff, and students.
