Position Overview

Project Coordinator is a crucial role responsible for planning, executing, and overseeing key tasks from initiation to completion of a given project. This role involves assisting project managers in ensuring project tasks are completed on time, within budget, and to the highest quality standards.

Key Responsibilities Project Support
  • Assist with preparation and maintenance of project documentation, including project plans, schedules, and status reports.
  • Track and report on project milestones and KPIs.
  • Coordinate meetings, project reviews, and ensure action items are tracked and followed through.
Team Work
  • Work within and support project teams, assign roles and responsibilities, and establish clear lines of communication.
  • Coordinate with project team members, fostering a collaborative and results-oriented work environment.
Quality Assurance
  • Establish and monitor quality standards, ensuring deliverables meet or exceed defined benchmarks.
  • Ensure operations views are managed towards the best solution(s).
Risk Management
  • Identify and assess project risks and develop mitigation plans.
  • Monitor and report on risks throughout the project’s lifecycle, documenting proactive measures taken to avoid or minimize impact.
Communication and Reporting
  • Maintain open and transparent communication with stakeholders, providing regular updates on status, issues, and risks.
  • Prepare and distribute progress reports, ensuring objectives are met.
  • On-site project coordination, viewing and learning various projects by attending on-site meetings.
Change Management
  • Identify and assess changes to scope, schedule, or budget.
  • Help implement change control procedures and ensure proper documentation and approval of changes.
Project Closure
  • Learn to identify closure activities including final inspections, client acceptance, and lessons learned documentation.
Qualifications and Requirements
  • Bachelor’s degree in a relevant field (e.g., business, engineering, project management) is typically required.
  • Entry-level project coordination experience or internship is desirable.
  • Knowledge of project management principles, methodologies, and tools.
  • Strong organizational and leadership skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in project management software and tools.
  • Analytical and problem-solving abilities.
  • Attention to detail and a commitment to delivering high-quality results.

Pay Range: $20.00 - $28.00 / hour

Reports to:

Director, Project Management

Physical Requirements

General Physical Health:
Good overall health to manage long hours, especially during critical project phases.
Stamina:
Ability to work extended hours when necessary, including evenings or weekends, to meet project deadlines.
Mobility:
Capability to move around the office or project site, which may involve walking or standing for extended periods.
Occasionally lifting and carrying light to moderately heavy materials (e.g., documents, laptops).
Dexterity:
Proficiency with computers and other office equipment, requiring good hand-eye coordination and fine motor skills.
Visual and Auditory Acuity:
Good vision to read detailed reports and computer screens; adequate hearing to participate in meetings and teleconferences.
