We are looking to hire a full-time Confidential Assistant to provide administrative and operational support to the President & CEO while handling sensitive and confidential information with professionalism and discretion.
Qualifications:
- High School Diploma/GED
- Bachelor’s degree in business administration or related field (preferred)
- Minimum of 2-5 years of experience supporting senior executives, preferably in a corporate or nonprofit setting
- Excellent written and verbal communication skills
- Demonstrated ability to handle sensitive and confidential information with discretion
- Ability to work independently, prioritize tasks, and manage multiple deadlines
- High level of proficiency in Microsoft Office Suite (Word, Excel, Powerpoint), Google Workspace, and virtual collaboration tools (Teams, Zoom, Google Meet, etc.)
- Demonstrated ability to prepare executive-level correspondence, presentations, and reports with accuracy and attention to detail
- Strong interpersonal skills with the ability to work effectively with board members, senior leadership, and other staff members
- Strong organizational and project management skills; able to anticipate needs and proactively solve problems
Responsibilities:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Screen and prioritize emails, calls, and inquiries directed to the CEO.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Maintain organized filing systems (digital and paper) for contracts, records, and confidential documents.
- Assist with follow up on action items from meetings.
- Support special projects and strategic initiatives as directed by the President & CEO.
- Ensure the President & CEO is prepared for all meetings and engagements with the necessary materials and background information.
- Conduct research, compile data, and prepare briefings for the President & CEO.
- Track project deadlines and ensure timely completion.
- Handle sensitive information with the highest level of discretion.
- Perform other related duties and special projects as assigned by the President & CEO.
