The Loan Administration Clerk is responsible for operations processing of consumer and commercial loans. Assists with the preparation and distribution of tracking reports and the balancing of loan settlement and other accounts. Provides quality service to First US Bank loan customers. Performs additional duties as assigned.
Primary Responsibilities /
Job Duties:
- Utilize the bank’s loan platform system to generate required loan documents such as promissory notes, deeds/mortgages, security agreements, and mandatory regulatory disclosures.
- Confirm data entered in the system matches terms of loan approval package; ensure organizational documents reflect proper signatory authority for legal entity borrowers; review preliminary title work to ensure clear final title; manage collateral lien perfection; verify adequacy of collateral insurance coverage.
- Upload and fund loans on the core data system; process disbursements.
- Scan and index loan documents to Synergy imaging system; set up loan files upon receipt of collateral and closed loan documentation from branches.
- Maintain and monitor tickler systems for tracking real estate title policies, recorded deeds/mortgages, UCCs, vehicle titles, insurance policies, annual financial statements, covenant testing, and other requirements.
- Perform daily loan servicing functions, including loan settlement, payment processing, escrow, account maintenance, customer inquiries, and other tasks.
- Monitor daily loan payoff report; prepare payoff letters; obtain lender approval and confirmation for collateral release; processes lien releases and cancellations.
- Participate in and complete all required compliance training, including BSA/AML, as well as other internal and external training programs.
- Participate in process improvement initiatives to enhance efficiency, accuracy, and customer experience.
- Assist in training new teammates as needed.
- Perform additional duties as assigned.
- High school diploma or equivalent required
- Minimum of one year experience working in a financial institution required
- Prior loan operations experience strongly preferred
- Knowledge of Jack Henry / Silverlake / Xperience / Synergy / OnBoard Loans / Meridian Link platform systems a plus
- Excellent analytical and organizational skills, with a high level of attention to detail
- Strong verbal and written communication skills
- Interpersonal skills necessary to professionally interact with customers, lending personnel, and third parties; ability to maintain a friendly, courteous, and professional demeanor throughout the workday
- Proficiency with Microsoft Office applications and other business computer systems
- Ability to work independently and collaboratively within a team environment
- Ability to manage multiple priorities in a face-paced environment
- Regular and reliable attendance is an essential function of this position
Work is performed in a professional office environment and requires the ability to operate standard office equipment and keyboards. Prolonged periods sitting at a desk and working on a computer. May require the ability to lift files, bend, reach, walk or maneuver around the bank. Must be able to lift up to 15 pounds at times.
