Position SummaryThe Marketing & Events Project Director serves as the “air traffic controller” for projects across the Marketing team—supporting BCH ministries and internal stakeholders by turning requests into clear, actionable plans that move work forward on time and on brand. This role owns project intake, scoping, timelines, task assignments, and follow-through across multiple concurrent initiatives. The Project Director also provides executive-level administrative support to the CMO and helps ensure the Marketing team delivers excellent service in alignment with BCH’s mission, values, and Christ-centered culture.
Qualifications- Experience:
Minimum 5 years in a marketing, advertising, communications, or creative environment. - Project management tools:
Demonstrated proficiency using Asana (preferred), Basecamp, , or another project management platform. - Skills:
Strong administrative ability; excellent writing/editing; high comfort with timelines, task management, and team coordination. - Technology:
Working knowledge of Microsoft 365 (docs, spreadsheets, calendars) and comfort learning BCH systems (CRM, file storage, etc.). - Preferred:
Experience supporting events and/or vendor coordination; familiarity with creative workflows (design, copy, digital production). - Must be able to manage deadlines and maintain professionalism in a fast‑paced environment.
- Collaborate with ministry stakeholders for project kickoffs and key information gathering to ensure projects are started and sustained with clarity.
- Serve as the first stop for marketing and event-related requests; guide stakeholders through intake to ensure clarity on goals, audience, deliverables, deadlines, approvals, and budget.
- Translate requests into structured project plans: scope, milestones, deadlines, task assignments, dependencies, and approval checkpoints.
- Maintain a centralized project pipeline and calendar; prioritize work with the CMO and Marketing leaders based on organizational needs and capacity.
- Identify risks early (missing inputs, shifting deadlines, unclear owners) and drive resolution to keep projects moving.
- Manage day‑to‑day project progression across creative, digital, content, event, and vendor deliverables.
- Assign tasks, facilitate internal handoffs, and ensure stakeholders provide timely feedback/approvals.
- Lead status updates and meeting rhythms (agendas, notes, action items, and follow‑up).
- Create repeatable systems: templates, checklists, naming conventions, filing structures, and SOPs.
- Administer and operate a project management platform (Asana preferred; Basecamp, , or similar acceptable).
- Build and maintain boards/projects, intake forms, dashboards, timelines, and reporting.
- Train team members and key stakeholders on how to request work, follow workflows, and use the platform effectively.
- Coordinate event-related timelines and cross‑functional deliverables (creative, email, web updates, print, signage, vendor needs, run‑of‑show assets).
- Track deadlines for event promotions, collateral production, vendor needs, and on‑site requirements in partnership with Events leadership.
- Coordinate logistics and deliverables with external vendors (print, creative, mail, digital, production partners, etc.).
- Track vendor timelines, proofs, revisions, and delivery dates; ensure internal approvals and handoffs happen on schedule.
- Provide administrative and coordination support to the CMO: scheduling, meeting preparation, follow‑up items, document organization, and project‑related correspondence.
- Help ensure key priorities are visible, tracked, and completed with excellence.
