The Office of the Registrar is responsible for managing campus enrollment and maintaining the security and integrity of academic records. Key duties include providing enrollment services, enforcing policy, issuing degrees and certificates, developing academic schedules, publishing registration schedules, evaluating transfers, reporting on academic data, administering tuition classification, and handling international admissions.

Responsibilities
  • Student Records & Curriculum Maintenance
    • Processes major changes and campus selection updates in Banner and related systems.
    • Conducts catalog year updates for majors and ensures alignment with curriculum changes.
    • Reviews and implements curriculum fixes and assists with teach‑out plan reviews in collaboration with Academic Services.
  • Compliance & Reporting
    • Assists in reviewing reports related to major declaration and program details to find discrepancies and updates, ensuring compliance with state and federal requirements.
    • Prepares the 85/15 report for Military/Veteran Services every semester in coordination with the Veterans Services team.
    • Supports degree verifications and responds to related inquiries from internal and external stakeholders.
    • Back‑up for the National Council for State Authorization Reciprocity Agreements (NC‑SARA) point‑of‑contact, managing student communications and ensuring compliance with authorization requirements.
  • Supplemental Applications & Admissions Support
    • Screens submitted documents for supplemental application programs, ensuring completeness and compliance with program requirements.
    • Provides guidance and troubleshooting to students navigating the supplemental application process.
    • Collaborates with the Coordinator to maintain accurate documentation and communication templates.
  • Academic Systems Troubleshooting and Maintenance
    • Provides basic troubleshooting for degree audit software (Degree Check) and escalates complex issues.
    • Assists in researching and resolving student record discrepancies and system‑related issues.
    • Supports testing and implementation of system updates related to academic records and planning tools.
  • Customer Service & Department/Division Support
    • Responds to inquiries via email, phone, and ticketing systems with professionalism and adherence to FERPA.
    • Supports communication efforts related to academic records, curriculum updates, and supplemental admissions processes.
    • Manages documentation, supports workflows, and assists with broader initiatives as needed.
    • Provides back‑up support across functional areas to ensure consistent service and departmental coverage.
    • Participates in departmental and divisional committees and work groups as requested.
    • Assists with college events and division-sponsored activities designed to enhance student support.
Qualifications and Requirements
  • Thirty‑six months of professional, general administrative or office support experience; clerical function is primary.
  • Effective verbal and written communication skills are required. Part‑time experience will be pro‑rated.
  • Submission of a cover letter describing interest, alignment with minimum qualifications, and completed work experience is required. Incomplete applications will not be accepted.
  • Academic substitution can replace required clerical experience on a year‑for‑year basis if the candidate holds a qualified copy of their transcript verifying required credits by the Final date to receive applications.
