The Role
As a part‑time (20hrs a week) Operations Manager, you’ll own the operational engine of a lean, high‑performing team. This is a hybrid role, roughly split between executive support for the CEO and operational/administrative ownership for the broader organization. It is not a traditional EA role. The operational half carries genuine project ownership and cross‑functional coordination responsibility. The right framing is an operator who also supports the CEO, not an assistant who also does some ops work.
You’ll run recurring processes end to end, build the systems that keep a growing startup organized, and free up leadership to focus on growth.
This role is ideal for an experienced operator who is highly organized and can keep things moving without dropping anything, trustworthy with sensitive information, and energized by variety and ownership. You’ll touch a little of everything, report directly to the CEO and may support other senior leaders on a project basis as directed.
What You’ll Do Executive Support (CEO‑facing)- Calendar ownership: proactive management, prioritization, and conflict resolution
- Meeting preparation: agendas, briefing materials, and follow‑up tracking
- Periodic travel coordination, domestic and occasional international
- Board and investor logistics support
- Communication triage and liaison where appropriate
- Internal event planning and execution (offsites, all‑hands, team programming)
- External event planning and execution (customer conferences, prospect dinners) in coordination with Marketing and Sales
- Discrete operational projects assigned by the CEO: process improvement, vendor coordination, cross‑functional initiatives
- Data entry and records hygiene across internal systems
- Keep people operations running smoothly, from employee onboarding and offboarding to interview scheduling support
- Vendor and facilities management as needed
- Own our security and compliance administration, including SOC audit coordination, Vanta management, access reviews, security training, and vendor due diligence
- Maintain our internal knowledge base, documenting processes and keeping shared systems organized
- Drive internal communications and culture, including company events, recurring meetings, and goal tracking
- 3+ years in operations, business operations, office/executive management, or a similar role, ideally at a startup or high‑growth company
- Demonstrated ownership of a security and compliance program or strong aptitude to take it on
- Exceptional organization and follow‑through; you keep many threads moving without dropping any
- Sound judgment and discretion with confidential information (HR, security, financial, executive)
- A builder's mindset; you design and improve processes rather than just maintain them
- Strong written and verbal communication; you can explain things clearly and keep leadership and the team informed
- Strong technical aptitude; you pick up new tools quickly
- High ownership mindset and bias toward action; you operate effectively with minimal direction
- Experience supporting senior executives and managing vendor relationships is a plus
