Salary Range: $40,000 – $50,000 per year.
The School Office Manager oversees general administrative functions and activities, with specialized responsibilities in student enrollment, record‑keeping, family engagement, and business operations. The role serves as a liaison between students, parents, staff, NAS Non‑Profit, school district authorizer, and community stakeholders while ensuring efficient day‑to‑day operations.
Supervisory Responsibilities- Manages Office Assistant
- Submit vendor invoices to the NAS Non‑Profit Business Manager for payment
- Report new hires and terminations in district system
- Request new hire credentials creation and termination of email and system accounts
- On‑site I‑9 verification, onboarding for new employees in district system
- P‑Card reconciliation
- Monitors teacher attendance submission
- Tracks attendance of all students for accuracy and data trends
- Provides reports to Attendance Coordinator and Principal of student attendance and trends
- Contacts parents/guardians about student attendance
- Ensures all attendance data in schook database is accurate
- Manages student registration process and prepares enrollment communications
- Mants accurate and confidential student records, including attendance, health and emergency information
- Processes student transfers and maintains current student database information
- Orient new families and students to the school community
- Updates cumulative record files and ensures data accuracy
- Completes October count reporting as required by the school’s authorizer
- Coordinates family events as needed
- Coordinates and assists in active marketing of the school to attract and retain students to achieve enrollment goals
- Works with family engagement team to implement strategies to increase family participation
- Assists in the creation and distribution of communications to families through various channels
- Assists in the planning and execution of community outreach programs
- Works with the Principal to maintain regular communication with parents regarding school activities and policies
- Acts as backup in food service department as needed
- Serves as health aide backup when school nurse not available
- Delegated by school nurse to administer appropriate student medications
- Delegated by school nurse to log and track medications given to students
- Attends required medical delegation trainings as mandatory
- Manages front desk operations, greets and directs guests
- Manages Raptor system providing visitor badges to tall guests
- Manages substitute scheduling as needed, ensuring all materials and technology are ready and available
- Performs or facilitates maintenance of office equipment
- Provides clerical support to Principal and staff as needed
- Maintains inventory of supplies and places orders as needed
- Implements efficient filing systems to maintain all required records
- Answers phone lines directing calls as appropriate
- Sorts and distributes mail, processes approval of invoices
- Prepares and processes documents and correspondence
- Submits technology requests to proper vendor
- Catering orders and event facilitation
- Other duties as assigned
Skills and Abilities
- Bilingual skills English/Spanish mandatory
- Ability to type accurately at least 60 wpm
- Extensive knowledge of office management procedures
- Excellent written and verbal communication skills
- Excellent interpersonal and customer service skills with emphasis on de‑escalation and conflict resolution
- Excellent time management with mandatory proof of meeting deadlines
- Proficient with Microsoft Office suite, Google Suite, Infinite Campus
- Knowledge of student record keeping systems
- Experience with food safety protocols
- Bilingual English/Spanish mandatory
- High school diploma or equivalent mandatory
- Associate's degree in office administration or related field preferred
- Must have at least three years of administrative and clerical experience mandatory
- Experience in a Charter School education setting strongly preferred
