Description

The Office of Budget & Finance (OBF) coordinates and directs Hennepin County's overall financial planning, analysis and treasury activities. The Administrative Assistant works side-by-side with the Director and budget analysts to assist in the preparation of the county's annual operating and capital budgets, and has specialized tasks such as representing the department on county-wide committees. You must be a probationary or permanent employee of Hennepin County to apply.

Responsibilities
  • Provide office support in the following areas: arrange meetings, presentations, and conferences; process and verify complex information and calculations in various forms, logs, journals, ledgers, documents, and requisitions; order and process payments for supplies and services.
  • Create and maintain electronic forms and other materials to be used by county departments in preparing and submitting their annual operating and capital budgets, personnel and expenditure records, and equipment/supplies requisition forms.
  • Write Requests for Board Actions (RBAs) and resolutions, and Requests for Administrative Action (RAAs), including researching and summarizing historical information.
  • Gather information, write, and format text and graphic materials for print or on-line publications and presentations at internal and public meetings using multiple software applications.
  • Prepare annual operating and capital budget information submitted by county departments for presentation to various audiences such as county departments, County Administration, the County Board, and the public in the form of text, charts, and graphs.
  • Write policy, procedure, and informational materials and design web pages and graphics to be published on the County's intranet site, and on the county's web site.
  • Represent OBF and its positions at meetings and on committees and task forces.
Qualifications
  • One of the following:
  • A bachelors degree or higher in public administration, business administration, or other field appropriate to the position.
  • Five years of experience in general administrative work related to the upper level management of departmental/organizational operations or in a specialty area appropriate to the position.
  • An approved equivalent combination of training and experience.
  • Experience using Microsoft Word, Excel, and PowerPoint, Adobe Acrobat, Lotus Notes, and other software including the creation and use of Excel formulas and graphics; formatting options across the various software applications.
  • Ability to write independently in a variety of styles for differing audiences.
  • Understanding of how data is used to communicate information to the public.
  • Ability to establish and maintain effective working relationships within and outside of the department; ability to communicate effectively verbally and in writing.
  • Ability to organize; analyze; work well with numbers and prepare detail-oriented work.
  • Ability to handle multiple assignments simultaneously and balance work direction from various people that may be inconsistent and of differing priorities.
  • Knowledge of county and department policies and practices.
  • Flexibility and adaptability, including the ability to work in a fast paced, dynamic environment.
  • Ability to work with information that is of a confidential nature. Invitations to interview will be based on an assessment of education and experience. Final candidates may be required to complete a skills assessment.
