The City of Thousand Oaks is seeking enthusiastic and service-oriented individuals to join our team! As an Administrative Aide (Part-time, Hourly City Worker), you will interact with a broad range of customers and play an important role in delivering extraordinary customer service to City residents and customers. The Administrative Aide will serve as a primary contact for City departments and maintain positive and professional customer relationships by responding promptly to inquiries and finding solutions.
The Administrative Aide (Hourly City Worker) is a part-time, hourly, at-will position that involves working approximately 15-25 hours per week, not to exceed 29 hours in a week, or 1000 hours per fiscal year (July 1st to June 30th).
Exact working hours will vary depending on the department or work location and will be between Monday - Friday. We currently have 1 opening in the Finance department at City Hall.
The employment list established from this recruitment may be used for vacancies within the City as they occur.
Primary duties may include but are not limited to:
- Provide clerical and administrative support for assigned department
- Greet clients/customers; answer incoming phone calls (may include multi-line phone system), and handle incoming and outgoing mail and email
- Respond to customer inquiries
- Organize and maintain file systems
- Maintain databases and ensure attention to detail when entering data
- Perform basic data analysis and prepare routine reports
- Support the day-to-day activities of assigned department
Finance:
- Greet members of the public and City Hall visitors at the welcome desk in a professional and courteous manner.
- Direct customers to the appropriate department, service counter, staff member, or City resource.
- Provide general customer service support while maintaining professionalism, confidentiality, and attention to detail.
- Maintain a presentable and organized welcome desk area.
- Ensure informational brochures and public materials are current, neatly displayed, and properly stocked.
- Perform routine administrative tasks, including document review, auditing, and data entry.
- Assist with cashiering duties during periods of limited or short-term coverage.
- Perform other related duties as assigned.

- Ability to work effectively in a busy work environment with frequent interruptions

- Experience working with the public; general office and clerical experience preferred
- Experience working with social media platforms
- Proficiency in Microsoft Office Suites (Word, Outlook, Excel, etc.)
- A high school diploma or equivalent
- Valid Class C driver's license (for positions that require driving)
