We are seeking a highly organized and motivated Operations Supervisor to oversee the day-to-day operational functions of our HVAC and plumbing company. This role will support field operations, employee coordination, fleet management, health and safety compliance, scheduling, estimating, invoicing, and overall operational organization to ensure projects and service work run efficiently.
Key Responsibilities Operations & Scheduling- Coordinate and manage daily scheduling of HVAC and plumbing technicians.
- Ensure jobs are properly assigned, tracked, and completed on schedule.
- Monitor workflow and adjust schedules to meet customer and project demands.
- Communicate regularly with field staff to ensure efficiency and job completion.
- Prepare and issue service quotes and estimates for customers.
- Review technician notes and job requirements to ensure accurate pricing.
- Follow up on outstanding quotes with customers.
- Coordinate approved work to ensure materials and labor are scheduled appropriately.
- Ensure completed jobs are properly documented and invoices are prepared and sent to customers in a timely manner
. - Review work orders and technician notes to confirm billing accuracy.
- Work with accounting to resolve billing questions or discrepancies.
- Track job completion to ensure no work orders remain uninvoiced
.
- Maintain and enforce company health and safety policies.
- Ensure compliance with Ontario safety regulations and company standards.
- Track employee safety certifications, training, and incident reports.
- Assist with safety meetings and documentation.
- Oversee company vehicles and equipment.
- Track vehicle maintenance schedules, inspections, and repairs.
- Ensure vehicles are properly equipped and compliant with safety requirements.
- Maintain organized operational records and documentation.
- Develop and improve systems for scheduling, quoting, job tracking, and invoicing.
- Provide operational updates and reports to management.
- Provide leadership and guidance to technicians and support staff.
- Ensure company policies and procedures are followed.
- Identify operational improvements to increase efficiency and productivity.
- Experience in HVAC, plumbing, construction, or trades environment preferred.
- Strong organizational and leadership skills.
- Knowledge of Ontario health and safety regulations is an asset.
- Experience with scheduling, estimating/quoting, or operations management
. - Strong communication, problem-solving, and multitasking abilities.
- Proficiency with office and job management software.
