I am seeking a highly organized, proactive Executive Assistant to support the CEO in a fast-paced business environment. We are a fast-growing wholesale distributor of brand-name cosmetics, skincare, haircare, and fragrances, working with major retailers in a high-volume, opportunity-buying market.

This role is responsible for managing priorities, handling critical communication, and ensuring day-to-day operations run efficiently. The ideal candidate is detail-oriented, resourceful, and thrives under pressure. This is a high-trust position for someone who takes ownership, stays steps ahead of tasks, and ensures absolutely nothing falls through the cracks.

Executive Assistant to the CEO

Key Responsibilities
  • Manage the CEO's calendar, master scheduling, and quickly adapt to shifting priorities.

  • Coordinate meetings, conference calls, and critical project follow-ups.

  • Draft, review, and respond to professional email correspondence on behalf of the CEO.

  • Track tasks, deadlines, and ongoing corporate projects to ensure timely completion.

  • Handle light personal tasks and day-to-day logistics for the executive office as needed.

  • Maintain strict organizational systems and ensure consistent follow-through on all action items.

Qualifications
  • Prior experience as an Executive Assistant or in a similar role directly supporting senior leadership.

  • Strong organizational skills with a proven ability to manage multiple high-priority tasks simultaneously.

  • Excellent written and verbal communication skills paired with a high level of discretion and professionalism.

  • Proactive mindset with a strong knack for problem-solving and anticipation of executive needs.

  • Exceptional attention to detail and a strict commitment to consistent follow-through.

  • Highly comfortable and efficient with standard tools including email, calendar systems, and basic office software.
