About NAETIThe National Asbestos and Environmental Training Institute (NAETI) has provided environmental, health, and safety training since 1985. NAETI offers initial certification, refresher, and continuing education courses in asbestos, lead, mold, indoor air quality, OSHA safety, hazardous materials, and related environmental topics. Training is delivered at the Tinton Falls location, online, and at other approved locations, as applicable.
Position SummaryThe Admin Office Assistant supports the day-to-day administrative and customer service needs of NAETI and helps ensure that training operations run efficiently. The position serves as an important point of contact for students, instructors, customers, and internal staff and assists with course registration, records, communication, scheduling, and general office organization.
The position is currently posted as part-time. NAETI will also consider qualified candidates who are interested in full-time employment based on experience, skills, availability, and business needs.
Essential Duties and ResponsibilitiesAnswer incoming telephone calls and emails promptly and professionally, and direct inquiries to the appropriate team member.
Assist students and customers with course information, registration requirements, schedules, directions, and general questions.
Process course registrations, payments, confirmations, cancellations, and transfers in accordance with company procedures.
Maintain accurate student, training, certification, and attendance records in electronic and paper files.
Prepare course rosters, sign-in sheets, certificates, training materials, labels, and other class documents.
Enter, update, and verify information in company databases, spreadsheets, and training systems.
Support instructors and operations staff before, during, and after scheduled classes.
Coordinate office calendars, meetings, appointments, classroom schedules, and related administrative details.
Perform general office duties, including filing, scanning, copying, mailing, shipping, ordering supplies, and maintaining organized work areas.
Assist with invoices, purchase documentation, basic reporting, and other administrative records as assigned.
Communicate professionally with regulatory agencies, vendors, customers, and employees when requested.
Protect confidential company, customer, and student information and follow established record-retention procedures.
Provide administrative support for special projects, outreach programs, and customized training assignments.
Required QualificationsHigh school diploma or equivalent required; additional administrative or business education is preferred.
Prior administrative, office, customer service, training coordination, or related experience preferred.
Excellent proficiency in Microsoft 365 and the Microsoft Office suite, particularly Outlook, Word, Excel, PowerPoint, and Teams.
Strong Excel skills, including accurate data entry, formatting, sorting, filtering, and maintaining spreadsheets.
Strong written and verbal communication skills with a professional and customer-focused approach.
Excellent organizational, time-management, and follow-through skills, with the ability to manage changing priorities.
High level of accuracy, attention to detail, and ability to maintain organized records.
Ability to learn new databases, registration platforms, and company systems quickly.
Ability to work independently while also contributing as a dependable member of the team.
Preferred SkillsExperience supporting a training, education, certification, environmental services, or safety organization.
Experience processing registrations, payments, invoices, or customer records.
Familiarity with online meeting and training platforms and basic website or learning-management-system administration.
Physical and Work RequirementsAbility to work in an office and classroom environment and use a computer, telephone, printer, copier, and other standard office equipment.
Ability to sit or stand for extended periods and occasionally lift or move office or classroom materials weighing up to 25 pounds.
