The Boeing Defense Space & Security (BDS), Space, Intelligence & Weapons Systems (SI&WS) has an exciting opportunity for an innovative, highly motivated, and people focused, Executive Office Administrator to join our Experimental Systems Group (ESG).ESG supports a variety of government customers spanning technology domains, and is a fast-paced, responsive development environment delivering new capabilities to customers rapidly and affordably. The ESG portfolio consists of a range of platforms and technologies including the X-37B, the world’s first fully autonomous reusable space plane. This position is 100% onsite at Kennedy Space Center, Florida.
The Executive Office Administrator will be responsible for the following:- Maintains schedules for both executive and a program manager
- Prioritizes and schedules management-level employee time and availability for efficient use of time
- Creates, edits and maintains electronic and written communication for the assigned executive and team
- Tracks and maintains information relative to department and business operations.
- Coordinates and processes domestic business travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate payment
- Communicates a wide variety of information to multiple audiences both verbally and in written formats. Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information
- Plans and implements logistics for executive level internal and external events
- Provides guidance for less experienced employees
- Works under limited supervision
This position is expected to be 100% onsite. The selected candidate will be required to work onsite at the listed location.
This position requires the ability to obtain a U.S. Security Clearance for which the U.S. Government requires U.S. Citizenship. A final U.S. TS/SCI Clearance Pre-Start is required.
Basic Qualifications (Required Skills/Experience)- 3 or more years of experience managing executive schedules and calendars using Microsoft Office or any administrative tools
- 3 or more years of experience working with executives and senior customers and officials and their administrative assistants
- 3 or more years of experience with Communication experience, both written and verbal, with a comfort in public speaking and frequent interactions with executive-level management
- Excellent organizational, record keeping skills and attention to detail
- Experience, and at least considered an intermediate user, with office tools such Microsoft Office (Excel, PowerPoint, etc.)
- Current Top Secret or TS/SCI clearance (A clearance obtained within the last 24 months is considered Active)
- Experience collaborating with cross-functional, geographically dispersed teams
- Willing to support occasional off-nominal working hours during critical 24/7 mission operations activities
Ability to utilize technological tools (e.g., PC's, web sites) and business system applications to manage, synthesize, and interpret data relevant to workloads, responsibilities, problem identifications and resolutions. Ability to operate relevant personal computing hardware (e.g., personal computers, software, printers, storage media) and standard software (e.g., word processing, graphics packages, spreadsheets/databases).
