The Great Outdoors Community Services Association is currently seeking a

Customer Service Representative Position

Description:

Service representative for all owners and renters, and deals with each case in the appropriate manner. Administrative Assistant to General Manager and CAM Manager in the Communtiy Services Association office.

  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Proficiency in use of computers in maintaining records, obtaining information and performing word processing duties.
  • Strong attention to detail and accuracy.
  • Professional customer service and interpersonal skills
  • Ability to handle day-to-day problems in a calm and professional manner.
Customer Service Responsibilities:

The Administrative Assistant is expected to provide a high level of customer service to residents, owners, guests, vendors, and fellow employees. Responsibilities include listening carefully to concerns, communicating respectfully, providing accurate information, following through on requests, and escalating matters to management when appropriate.

The Administrative Assistant should remain professional and courteous when handling difficult or sensitive situations and should not make commitments or interpretations of Association policies outside the authority of the position.

Essential Duties and Responsibilities:
  • Serves as the point of contact for residents, property owners, vendors, contractors, and visitors contacting or visiting the Association office.
  • Answer telephone calls, receive emails, visitors, and direct questions or concerns to the appropriate staff member.
  • Maintain work order program for service calls for the maintenance crews. (Example:
    Repairs or inspection of irrigation or potable water line/shutoff valves, lawn concerns, tree removal and trimming, drainage and general repairs, etc.)
  • Update, Maintain and/or compile the following:
  • Pest control and fertilizer spray lists for pest management company.
  • Mow crew damage lists - work with CSA Grounds Maintenance Supervisor.
  • Storage B lists – Motorhome, car, boat and utility trailer storage - and billing.
  • Owner rental and guest lists.
  • Enter owner rentals and guests, handout maps, cable listing, "The Happenings", etc.
  • Order office supplies for all CSA Departments.
  • Work with the CSA crews to handle any maintenance problems at all CSA-owned buildings.
  • Answer phones, send faxes, miscellaneous filing, and process closing documents
  • Answer general information questions for owners, renters, and guests.

Minimum Qualifications:

High School Diploma or equivalent required.

Two or more years of administrative, office, customer service, property management, HOA, condominium association, or related experience preferred.

Previous experience working with an HOA, condominium association, community association, property management company, or similar organization is preferred.

Valid driver's license is required.
