Job Description

The Administrative Assistant I will primarily support the department chair, as well as the associate chair, undergraduate director, and graduate director in the Mechanical, Industrial, and Manufacturing Engineering (MIME) Department in the College of Engineering. This position provides essential information and services related to the administrative operations of the office, including but not limited to greeting visitors, answering all inquiries, assisting with review of department webpages and managing the department’s social media presence, processing employment paperwork, scheduling meetings, and serving on departmental committees.

This position is also responsible for maintaining department records, equipment, and supplies. This position requires accuracy, a professional demeanor, strong communication skills, and independent judgment.

Minimum Qualifications
  • Associate’s Degree in business management, secretarial sciences, or related field required.
  • Six (6) months’ administrative and/or secretarial experience performing similar duties for an upper-level management position required.
  • Or equivalent combination of education and work experience
  • Proficient use of technology, including Microsoft Office 365 suite and Adobe.
  • Always maintain confidentiality, including FERPA, HIPAA, or any other confidentiality requirements/policies.
  • Aptitude for learning new technologies quickly and keeping up with best practices.
  • Excellent customer service skills.
  • Must be pleasant and responsive in all situations and with all personality types.
  • Ability to complete moderately complex administrative paperwork.
  • Able to independently assess, respond to, and follow up on inquiries from students, alumni, donors, and guests.
  • Ability to work efficiently in a fast-paced environment, multitask, and prioritize projects with frequent interruptions.
  • Self-motivated and well organized with attention to detail, consistency, and accuracy.
