Job DescriptionThis role is responsible for maintaining the Designated Institutional Official’s (DIO) day‑to‑day schedule and long‑term calendar. The Executive Assistant prepares high‑volume meeting and briefing materials, gathers information from colleagues across the division and university, and independently initiates and responds to correspondence on behalf of the DIO with important internal and external stakeholders. The position completes or tracks action items arising from workflow, manages all travel logistics, directs routine office operations, and serves as an ambassador on behalf of the office.
The Executive Assistant is often the first point of contact for multiple constituencies, including members of the President’s Cabinet, deans, trustees, donors, volunteers, and prospects that align with UToledo’s advancement mission. They also provide analytical support, project coordination, and supervision to support staff.
Qualifications and
Experience:
- Bachelor’s degree and at least 1 year of progressive, responsible administrative or secretarial experience for management, or 3 years of progressively responsible administrative experience or support, in lieu of education.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) and Adobe Acrobat.
- Ability to download and perform basic analysis of data from University of Toledo databases.
- Ability to handle confidential matters with discretion.
- Strong interpersonal written and verbal communication skills.
- Excellent organizational and problem‑solving skills.
- Commitment to customer service and inclusive excellence.
- Ability to work with a diverse group of people at all levels of the organization.
