- Schedule appointments, provide information to callers, and relieve officials of clerical work and minor administrative tasks.
- Compile and maintain records of business transactions and office activities.
- Retrieve packing slips and Mill Test Reports as requested.
- Verify test reports.
- Finalize and invoice Sales Orders.
- Code and enter all AP invoices for management approval.
- Scan official documents into imaging processes daily.
- Receive, update, and finalize Material Processing Orders (Internal/External).
- Operate copiers and fax machines, and call for repairs of office equipment.
- Open and distribute incoming mail, answer correspondence, and prepare outgoing mail.
- Greets visitors, ascertains nature of business, and introduces visitors to the appropriate person.
- Answer telephone and give information or route calls to the appropriate official.
- Compose and create routine correspondence.
- File correspondence and other records.
- Confirm and finalize all buy-outs and PO receipts.
- Provide information to customers.
- Maintain inventory of office supplies and place required purchase orders.
- Upload customers’ orders onto their portal (Eaton and Tenneco).
- Work in conjunction with the sales team and customers related to Sales Support/Administration.
- Coordinate all branch corporate citizenship functions.
- Coordinate and plan all branch events, including LiveSMART Ambassador.
- Perform all other administrative duties as requested.
- High school diploma or general education degree (GED).
- One to three years of related experience and/or training.
- Ability to read, manage, coordinate, and understand document flow to the receiving process.
- Effective communication skills, both verbal and written.
- Experience with Microsoft Office.
- Willingness to learn proprietary program known as Metalware.
