The Administrative Assistant
- Senior Living will provide administrative, clerical, and organizational support to the Executive Director, Business Office Manager (BOM) and/or other site leaders. The position helps maintain efficient daily operations by coordinating schedules and meetings, preparing and maintaining records, assisting with business-office processes, and serving as a professional point of contact.
- Provide administrative support to the Executive Director and Business Office Manager.
- Plan and manage the scheduling and direction of site Receptionists.
- Assist with scheduling, meeting coordination, and calendar management.
- Assist Executive Director in oversight of housekeeping operations for the campus.
- Prepare, organize, and maintain files, records, and reports.
- Support payroll, invoicing, purchasing, and other business office functions as assigned.
- Assist with data entry and maintaining accurate records and databases for various logs, concern reports, etc.
- Greet visitors and serve as a professional point of contact for staff, families, vendors, and community members.
- Support special projects, events, and campus initiatives.
- Under direction by Executive Director, work a flexible weekly schedule as needed for the business.
- Collect, organize, and route supporting documentation to the appropriate reviewer or approver.
- Refer discrepancies, exceptions, approval requests, and non-routine questions to the Business Office Manager, Executive Director, or other appropriate leader.
- Perform other clerical and administrative duties as needed to support campus operations.
- Associate degree in Business Administration, Office Management, Accounting, or related field preferred.
- One to three years of administrative, office support, receptionist, or business office experience preferred.
- Experience supporting managers, department leaders, or senior leaders preferred.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
