Position Summary
The Crane Service Coordinator is responsible for organizing, scheduling, and overseeing all crane service activities, ensuring efficient dispatch, proper documentation, and exceptional customer support. This role serves as the central communication hub between customers, technicians, vendors, and internal teams to ensure timely service delivery, regulatory compliance, and operational excellence.
Duties & Responsibilities Service Coordination & Scheduling- Schedule inspections, repairs, maintenance, and emergency service calls for crane technicians.
- Coordinate daily workloads and dispatch field personnel based on priority, location, and skillset.
- Monitor job progress and update stakeholders on timelines, changes, or delays.
- Serve as the main point of contact for customer inquiries regarding service requests, deadlines, quotes and make Customer visits as deemed necessary.
- Provide accurate information about service scope, pricing, and scheduling.
- Maintain strong customer relationships by ensuring timely and professional communication.
- Create, update, and close work orders in the service management system.
- Ensure all required documentation—service reports, inspection forms, compliance records, parts usage, and labor hours—is complete and accurate.
- Track open jobs and follow up to ensure timely completion and invoicing readiness.
- Support internal safety initiatives and technician readiness (certifications, lift plans, etc.).
- Coordinate with sales teams to provide quotes or service estimates when needed.
- Assist in tracking technician hours, equipment usage, and job costs for reporting.
- Provide administrative support for service department goals and projects.
- Authority to stop production in the event due to poor quality, unsafe parts or conditions appear.
- Performs other duties as assigned by the immediate Supervisor and/or Manager, which may be outside the scope of responsibilities noted above.
- High school diploma or equivalent; associate degree preferred.
- 2+ years of experience in service coordination, dispatching, scheduling, or administrative support (preferably in industrial services, construction, or equipment maintenance).
- Strong organizational and multitasking skills.
- Strong communication and customer service abilities.
- Proficiency with service management software, ERP systems, and Microsoft Office.

- Problem-solving aptitude and ability to work under pressure.
- Experience in crane service, heavy equipment, or industrial maintenance environments.
- Familiarity with OSHA/ASME standards related to crane inspection and repair.
- Ability to read basic technical or mechanical service manuals.
