Job Overview
Walman Optical, part of Essilor Luxottica, seeks a Customer Service Representative (Order Clerk) to manage order processing, vendor relationships, and customer support.
Major Duties and Responsibilities- Receive requests for price quotations, orders, changes, adjustments, and cancellations directly from customers and labs.
- Maintain rapport with customers and provide excellent service.
- Process overstock and defective lenses, frames and accessories for return to vendors, ensuring compliance with manufacturer’s return policy and documenting returns.
- Assist in assembly, packaging, premium inclusion, and marking of frames for monthly auto‑kit mailings; maintain customer lists for participating accounts.
- Use PC to retrieve customer information, stock status, order status, and modify orders; ensure correct codes and organization of product information.
- Coordinate with vendors on orders, status, quotations, and delivery information.
- Troubleshoot issues from co‑workers and customers.
- Communicate company policies, procedures, promotions, and negotiate diplomatically.
- Sort and deliver mail, perform mid‑day department computer backups, and end‑of‑day close‑out daily.
- Self‑motivate to cross‑train and learn other duties; maintain organized work area.
- Follow all company and manufacturer policies, attendance, safety rules; maintain confidentiality of proprietary and HIPAA‑protected information.
- Assist colleagues as needed to meet deadlines and maintain workload balance.
- Provide training, direction, and technical guidance to less experienced coworkers; attend training meetings when required.
- Perform other duties as assigned.
- High school diploma, GED or equivalent experience.
- 1+ year(s) of experience in customer service, hospitality, or call center environments.
- Excellent telephone etiquette and ability to handle difficult customer situations calmly.
- Strong verbal and written communication skills.
- Good organizational skills with attention to detail and numerical accuracy.
- Basic PC skills including MS Office—Word and Excel.
- Ability to lift/move up to 40 pounds.
