The Human Resources Assistant is responsible for providing administrative and operational support in support of the Human Resources department’s efficiency, service delivery, and overall organizational effectiveness. This position ensures accurate and confidential processing of HR documentation, timely coordination of HR activities, and dependable support across key HR functions.

Position is full-time, 40 hours per week.

REQUIREMENTS

Education :

  • High School Diploma or GED equivalent.

Experience :

  • Attention to detail and ability to multitask.
  • Ability to handle confidential information and documentation with discretion.

Licensureand Certifications(if applicable) :

  • Must have a valid driver’s license, acceptable driving record, and show proof of personal auto insurance policy to bedeemedinsurable with Harbor’s vehicle insurance carrier.

Preferred Qualifications :

  • Previous experience inHuman

RESPONSIBILTIES

Essential Functions and Primary Responsibilities :

  • Provide administrative and operational support to the entire Human Resources team.
  • Assist with recruitment coordination by posting approved job opportunities on designated community,college, and online sites andmaintainingposting records.
  • Respond to internship inquiries and support the application/onboarding workflow for interns in collaboration with the Recruiter and HR team.
  • Coordinate pre-employment onboarding appointments and complete onboarding steps for selected candidates (e.g., forms, I-9/E-Verify support as applicable,required screenings, and documentation tracking).
  • Support benefits and leave administration through data entry, document collection, routing, and follow-up with employees and as directed.
  • Assist with payroll/HRIS support tasks, including dataentry/updates, troubleshooting escalation, and routine audits to promote data accuracy.
  • Maintain employee personnel files and HR records by scanning, indexing, and filing documentation (e.g., new hire documents, union correspondence, PDCs, and performance documentation) in accordance with retention and confidentiality requirements.
  • Prepare materials and coordinatelogisticsfor New Hire Orientation and other HR meetings/trainings (e.g., room set-up, attendee lists, packets, and sign-in sheets).
  • Generate HRIS and operational reports as requested;assist with tracking metrics, reconciling data, and preparing materials for internal audits and reviews.
  • Process employment verifications and respond to routine internal/external HR inquiries, escalating sensitive or complex matters appropriately.
  • Track completion of education, background, and other required pre-employment verifications and follow up as needed with candidates, vendors, and internal stakeholders.
  • Update andmaintainjob summaries, HR templates, and standardized communications as directed to support consistent HR practices.
  • Order andmaintainHR office supplies, onboarding materials, and file inventory as needed.
  • Participate in HR team meetings and cross-functional meetings as requested.
  • Completeaccuratedata entry for new hires and employee changes (as assigned) to ensure HRIS and personnel records are current.
  • Monitor and track employee licenses, certifications, andrequiredtrainings; support compliance documentation and audit preparation activities.
  • Assist the HR team with events, audits, file reviews, special projects, and daily operational tasks to support department goals and timelines.
  • Maintain current knowledge of HR practices, systems, and compliance requirements related to essential job competencies anddemonstratecontinued growth
