Position OverviewThe Smart Care EHR Analyst serves as the primary day-to-day administrator and subject matter expert for the agency's Smart Care Electronic Health Record (EHR) system during a temporary maternity leave coverage assignment. This position is responsible for maintaining system operations, supporting end users, optimizing workflows, resolving issues, developing reports, and ensuring the EHR continues to support high-quality clinical documentation, billing, compliance, and operational efficiency.
Working closely with the Technology Manager and leaders across Clinical, Billing, Compliance, Intake, Operations, and Executive Leadership, the Smart Care EHR Analyst ensures uninterrupted EHR support while continuing ongoing optimization initiatives.
This is a temporary 4–5 month contract position with an anticipated start date of August 31, 2026.
Key Responsibilities Smart Care Administration- Serve as the primary Smart Care administrator during the contract period.
- Maintain user accounts, security roles, permissions, templates, forms, and system configuration.
- Coordinate directly with Smart Care support regarding technical issues, upgrades, testing, and system enhancements.
- Monitor system functionality and resolve day-to-day EHR issues.
- Support ongoing post-go-live optimization efforts.
- Provide daily Smart Care support to clinicians and operational staff.
- Troubleshoot workflow and documentation issues.
- Conduct new hire Smart Care training.
- Develop tip sheets, workflow guides, and training materials.
- Assist departments with improving documentation efficiency.
- Review existing workflows and recommend improvements.
- Standardize documentation processes across locations.
- Assist leadership in implementing new Smart Care workflows.
- Test new functionality before organizational rollout.
- Create and maintain operational reports.
- Assist leadership with productivity reporting.
- Support billing reports and documentation monitoring.
- Build dashboards to support organizational decision-making.
- Monitor documentation quality within Smart Care.
- Identify workflow issues affecting compliance.
- Assist with audit preparation.
- Ensure system configuration supports Medicaid, CARF, DBH, and payer requirements.

- Associate's or Bachelor's degree in Information Systems, Healthcare Administration, Health Information Management, Behavioral Health, or a related field preferred.
- Minimum two years of Smart Care EHR administration experience.
- Experience training users on an electronic health record.
- Experience creating reports and dashboards.
- Strong troubleshooting and analytical skills.
- Excellent communication and customer service skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience with Smart Care EHR.
- Experience in Ohio behavioral health.
- Knowledge of Medicaid documentation standards.
- Knowledge of Ohio Department of Behavioral Health requirements.
- Experience supporting behavioral health clinicians.
