The Administrative Assistant & Receptionist serves as a key point of contact for daily operations at our Headquarters, The Forge. This role is responsible for providing a welcoming, professional front-of-house experience while supporting the smooth execution of office operations and onsite activities. This role will provide support throughout the organization as needed.
This is a full-time, onsite role. While standard business hours apply, the position requires occasional flexibility in working hours to support onsite meetings, events, or business activities as needed. Advance notice will be provided in this situation.
This position requires strong interpersonal skills, attention to detail, and a service-oriented mindset.
How You'll Drive Success Administrative & Office Operations- Own the operator queue and manage incoming calls appropriately
- Handle mail and package distribution
- Support general administrative office functions as needed
- Maintain organization and professionalism of common and reception areas
- Greet, check in, and escort visitors as needed
- Serve as an ambassador for The Forge, providing high‑level facility tours when appropriate
- Ensure all visitors feel welcomed, informed, and supported during their time onsite
- Manage inventory of office and cleaning supplies
- Coordinate replenishment to ensure uninterrupted daily operations
- Support Facilities team needs as required to maintain a functional, professional workspace
- Help with onsite meetings, trainings, and events
- Help with light setup, breakdown, and coordination support as needed
- Act as a resource during high‑traffic or high‑visibility onsite activities
- High School Diploma or GED required;
Associate degree preferred but not required. - Minimum one year’s previous administrative assistant experience with responsibility for answering/directing calls and greeting visitors in a professional office setting.
- Previous administrative or clerical work experience preferred.
- Proficiency in Microsoft Word.
- Knowledge of Microsoft Excel, PowerPoint, and Outlook.
- Familiarity with Microsoft Teams.
- Strong interpersonal and communication skills
- Professional demeanor with a customer‑service mindset
- Ability to multitask and adapt in a dynamic environment
- High level of discretion and reliability
- Comfortable interacting with employees, leadership, customers, and external partners
- Prior administrative, reception, or office coordination experience preferred
