Job Title: Transportation Communication/Trip Coordinator

Department: Transportation

Reports to: Director of Transportation

Calendar: 226 days

Pay Grade:

PRIMARY

PURPOSE:

Assist the department in providing safe and dependable transportation to the students of Tomball ISD, by coordinating effective communication with parents, campuses, and the community and coordinating field trips for the district.

QUALIFICATIONS

Education/Licenses/Certification

  • High School Diploma/GED
  • Possess and maintain a Texas CDL-B or A with P & S endorsement with acceptable driving record as measured by the School Bus Driver’s Record Evaluation criteria.

Special Knowledge/Skills

  • Proficient computer skills in Microsoft applications and applicable transportation software
  • Skilled in operating call center platforms and efficiently answer questions and route calls to appropriate personnel
  • Skilled in navigating online mapping applications to provide accurate directions to specific locations and routes
  • Skilled in communicating effectively and clearly, both verbally and written, utilizing tact and diplomacy and remaining calm in emergency situations
  • Excellent organizational, communication, team, and interpersonal skills
  • Ability to prioritize tasks, maintain required documentation, and handle conflict resolution
  • Serves as a liaison by maintaining good rapport with students, parents, campuses, and community

Experience

  • Three (3) years in the field of Student Transportation
  • Three (3) years of customer service experience
MAJOR RESPONSIBILITIES AND DUTIES
  • Call Handling:
    Manage large volumes of inbound calls from parents and school staff regarding bus schedules, stop locations, and late arrivals.
  • Issue Resolution:
    Investigate and troubleshoot transportation complaints, missing students reports, or driver disputes with speed and empathy
  • System Operations:
    Use GPS tracking, specialized routing databases (Transfinder), and student data portals to pinpoint bus locations in real-time.
  • Emergency Coordination:
    Act as a liaison between callers and the dispatch office during vehicle breakdowns, accidents, or inclement weather events.
  • Documentation:
    Accurately log detailed summaries of all parent interactions, complaints, and interventions.
  • Trip Scheduling:
    Review, approve, and log all school field trip and athletic requests.
  • Personnel Assignment:
    Allocate qualified bus drivers to scheduled trips according to department policies.
  • Fleet Management:
    Assign appropriate vehicles based on trip capacity and student needs.
  • Billing & Invoicing:
    Track trip expenditures, process mileage data, and generate invoices for finance department.
  • Stakeholder Liaison:
    Serve as the main point of contact for campus administrators, coaches, and drivers regarding field trips.
  • Bus Driver:
    Operate a school bus as a substitute when operational shortages occur.

EQUIPMENT USAGE:

Computers, transportation and communication software, copiers, telephones, 2-ways radios, school buses (regular and special education), fuel pumps, and minor shop equipment.

WORKING CONDITIONS

Mental Demands:

Maintain emotional control; maintain effective communication with staff and supervisors; use reasoning skills to solve problems; complete work within time schedules and meet deadlines.

Physical Demand/Environmental Factors:

Frequent district wide travel; frequent prolonged and irregular hours; ability to operate and ride on motor vehicles used by the district.

Position Type: Full-Time

Salary: $25.25 Per Hour
