Role Description This is a full-time, on‑site Office Assistant role located in Toms River, NJ. The Office Assistant will support daily operations by answering and directing phone calls, greeting visitors, and managing incoming and outgoing mail. Responsibilities include maintaining organized files and records, preparing and photocopying documents, and operating standard office equipment such as printers, scanners, and fax machines. The role also involves scheduling appointments, updating calendars, and assisting legal and administrative staff with clerical tasks and basic data entry.
The Office Assistant will help ensure the office runs smoothly and that clients receive professional, timely assistance.
- Strong phone etiquette and communication skills, including clear, professional interaction with clients, colleagues, and external partners.
- Administrative assistance and clerical skills, including filing, data entry, document preparation, and mail handling.
- Familiarity with common office equipment such as multi‑line phone systems, printers, copiers, scanners, and fax machines.
- Proficiency with basic computer applications (e.g., email, word processing, spreadsheets) and the ability to learn case management or office software.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks and priorities in a fast‑paced environment.
- Reliability, punctuality, and a commitment to maintaining confidentiality and professionalism in a legal office setting.
- Previous experience in an office, legal, or professional services environment is preferred but not required.
- High school diploma or equivalent required; additional coursework or training in office administration is a plus.
