Job overviewThe Legal Administrative / Project Coordinator provides administrative, operational, and contract management support to the Legal Department and business stakeholders. This role is responsible for maintaining legal records, ensuring efficient management of legal and corporate documentation and supporting attorneys with respect to the contract lifecycle process.
This role will help ensure smooth day-to-day legal operations and efficient prioritization across multiple works streams and projects, and key business processes. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
LocationHybrid in New York City / New Jersey, US.
Reports toVice-President, Associate General Counsel.
Roles and responsibilities(Include but are not limited to):
Legal Administrative Support- Manage complex calendars, prioritise competing requests, and coordinate meetings across multiple senior leaders.
- Maintain legal files, correspondence, policies, and corporate records.
- Assist with preparation of presentations, reports, and legal department communications.
- Coordinate execution of agreements, including obtaining signatures through electronic signature platforms.
- Maintain accurate legal and corporate records and files, manage the storage of key documentation, and support document retrieval when needed
- Adhere to relevant standard operating procedures, confidentiality requirements, and internal policies
- Serve as a point of contact for contract-related inquiries from internal stakeholders.
- Support attorneys in the contract review process and coordinate contract review and approval workflows among legal, procurement, finance, and business clients.
- Support workflow processes through the Company’s contract lifecycle management (CLM) systems.
- Generate reports and dashboards regarding contract volume, execution status, and renewal activity.
- Identify opportunities to improve contract administration and legal processes.
- Assist in developing standard operating procedures and process documentation.
- Experience working in an in-house legal department
- Background in life sciences and prior experience working at pharma/biotech companies strongly preferred
- Proven experience supporting senior executives in a fast-paced environment
- Strong prioritisation skills, with the ability to manage multiple stakeholders and shifting demands;
Ability to manage multiple projects and deadlines in a dynamic corporate environment. - Highly organised, proactive, and able to work independently with excellent attention to detail
- Strong written and verbal communication skills, with confidence coordinating across internal and external stakeholders
- Comfortable handling highly confidential information with discretion and professionalism; good judgement
- Proficient in standard business tools such as Outlook, Teams, PowerPoint, expense systems, Docusign and contract lifecycle management systems.
