The Warehouse Logistics Coordinator is responsible for supporting daily warehouse logistics operations, including carrier coordination, shipment tracking, logistics issue resolution, packaging material management, return shipment follow-up, inventory status tracking, and logistics system coordination. This role works closely with the warehouse team, sales operations team, customer service team, logistics providers, and HQ to ensure smooth, accurate, and timely warehouse and shipping operations.

Key Responsibilities Logistics Coordination
  • Coordinate with logistics carriers, trucking companies, courier services, and third‑party logistics partners for daily shipment arrangements.
  • Follow up on outbound shipment schedules, pickup arrangements, delivery status, and transportation timelines.
  • Communicate with logistics providers regarding shipment delays, missed pickups, delivery exceptions, damaged shipments, lost packages, or other logistics issues.
  • Support warehouse team in coordinating special shipment requests, urgent orders, bulk shipments, and B2B shipment requirements.
  • Maintain timely communication with internal teams regarding shipment progress, delays, and delivery updates.
Logistics Optimization
  • Assist in improving warehouse logistics processes, including shipment preparation, carrier selection, pickup scheduling, and delivery follow‑up.
  • Monitor recurring logistics issues and help identify opportunities to improve efficiency, cost control, and delivery accuracy.
  • Compare carrier performance, delivery timelines, service quality, and shipping costs when needed.
  • Support the implementation of improved logistics workflows to reduce delays, errors, and unnecessary shipping expenses.
  • Help organize logistics data and provide feedback to management on potential process improvements.
Logistics System Coordination
  • Assist with logistics system operations, including shipment creation, tracking number updates, carrier portal usage, and system data accuracy.
  • Coordinate logistics system issues with internal teams, vendors, or HQ when needed.
  • Ensure shipment information, tracking details, delivery status, and related records are updated accurately and in a timely manner.
  • Support system integration or process alignment between warehouse, order management, logistics platforms, and inventory systems.
  • Help troubleshoot shipment record discrepancies, missing tracking information, or incorrect logistics data.
  • Track and follow up on abnormal shipments, including delayed, lost, damaged, returned, refused, or misdelivered packages.
  • Communicate with carriers to open claims, request investigations, and follow up on resolutions.
  • Coordinate internally with warehouse, sales, customer service, and HQ regarding logistics exceptions and next steps.
  • Maintain clear records of logistics issues, communication history, claim status, and final resolution.
  • Escalate urgent or repeated logistics problems to management when necessary.
Warehouse Packaging Materials Management
  • Monitor warehouse packaging material usage, including boxes, pallets, labels, tape, protective materials, and other shipping supplies.
  • Track packaging material inventory and notify the team when replenishment is needed.
  • Coordinate with vendors or internal teams for packaging material purchasing, delivery, and storage.
  • Help improve packaging material usage to reduce waste, control costs, and support safe product delivery.
  • Ensure warehouse has sufficient packaging supplies to support daily shipping needs.
Return Shipment and RMA Follow‑up
  • Track return shipments, including customer returns, RMA returns, refused deliveries, failed deliveries, and carrier returns.
  • Monitor return tracking numbers and confirm whether returned goods have arrived at the warehouse.
  • Coordinate with warehouse team to confirm returned item receipt, condition, and next handling steps.
  • Communicate return status updates to sales operations, customer service, or other relevant teams.
  • Maintain organized return tracking records and help ensure return cases are followed through to completion.
Inventory Follow‑up
  • Monitor inventory status related to outbound shipments, incoming goods, returns, and warehouse availability.
