Ratliff Jackson LLP is seeking an experienced, motivated Law Firm Intake Specialist to serve as the first point of contact for prospective clients and help convert qualified leads into retained clients.
This is not a traditional receptionist position. The successful candidate will be comfortable with sales, confident speaking with prospective clients, persistent with follow-up, and motivated by measurable results.
Our firm handles matters involving civil litigation, education law, criminal defense, and professional license defense. Prospective clients often contact us while dealing with stressful, urgent, or high-stakes situations. We are looking for someone who can combine empathy and professionalism with a strong sales mindset.
What You'll Do- Respond promptly to inbound prospective-client calls, web inquiries, and other leads.
- Conduct initial intake calls and gather relevant information about potential matters.
- Build rapport with prospective clients and confidently explain the firm's intake and consultation process.
- Identify qualified leads and move them efficiently through the intake process.
- Follow up consistently with prospective clients who have not yet retained the firm.
- Schedule consultations with attorneys when appropriate.
- Communicate fee structures and engagement requirements as directed by the firm.
- Assist prospective clients with completing engagement agreements and making initial payments.
- Maintain accurate records of leads, contacts, follow-ups, and outcomes.
- Track intake activity and conversion rates.
- Coordinate with attorneys and staff regarding new matters and prospective clients.
- Provide a professional and responsive experience from the client's first contact with the firm.
Sales experience is required.
The ideal candidate has experience in sales, customer acquisition, intake, business development, or another role where success depended on converting interested prospects into paying customers or clients.
Law firm experience is helpful, but we are more interested in demonstrated sales ability than prior legal experience.
Successful candidates should be:
- Comfortable speaking with prospective clients by telephone.
- Confident asking for the business and moving a prospect toward a decision.
- Persistent without being pushy.
- Highly responsive and organized.
- Able to communicate professionally with people experiencing stressful situations.
- Comfortable discussing fees and payment requirements.
- Able to manage multiple leads and follow-up deadlines simultaneously.
- Comfortable working in a performance-driven environment where conversion rates and responsiveness are measured.

We are open to structuring the position as either an employee or independent contractor arrangement, depending on the candidate's experience, availability, and proposed working arrangement.
Compensation will be competitive and commensurate with experience and the final structure of the position.
What Success Looks LikeSuccess in this position is not measured simply by answering calls or completing intake forms. We are looking for someone who takes ownership of the intake pipeline.
A successful Intake Specialist ensures that qualified leads receive prompt attention, prospective clients do not fall through the cracks, follow-up occurs consistently, and strong prospective matters are effectively converted into retained clients.
