Job Summary

Tooele Motor Company is looking for a friendly, professional, and self‑motivated Receptionist/Service Scheduler to be the first point of contact for our dealership. The ideal candidate is customer‑focused, organized, and thrives in a fast‑paced environment while creating a welcoming experience for every guest.

In this role, you will be responsible for managing a high volume of inbound and outbound calls, scheduling and confirming service appointments, following up with customers, and helping maintain a full and efficient service schedule. Success in this position requires confidence making outbound calls, excellent communication skills, and the ability to build rapport with customers while providing exceptional service.

We’re looking for someone who takes initiative, stays organized, and can work independently with minimal supervision. Attention to detail, strong multitasking abilities, and a positive, team‑oriented attitude are essential. Responsibilities
  • Answer and manage a high volume of inbound calls in a professional, friendly, and efficient manner.
  • Make outbound calls to schedule, confirm, and follow up on service appointments.
  • Proactively contact customers for appointment reminders, missed appointments, declined services, and maintenance recommendations.
  • Schedule service appointments accurately while maximizing shop capacity and technician availability.
  • Greet customers and visitors, providing a welcoming first impression of the dealership.
  • Direct calls and guests to the appropriate department or team member.
  • Maintain accurate customer information and appointment records in the dealership management system.
  • Communicate clearly with customers regarding appointment availability, service expectations, and dealership processes.
  • Respond to customer questions and resolve concerns with professionalism and courtesy.
  • Work closely with the service advisors and management team to ensure a smooth customer experience.
  • Follow established processes while taking initiative to identify opportunities to improve scheduling efficiency and customer satisfaction.
  • Stay organized, prioritize multiple tasks, and work independently in a fast‑paced environment.
  • Meet appointment‑setting and customer follow‑up goals while maintaining a high level of customer service.
  • Perform additional administrative and receptionist duties as assigned.
  • Familiarize yourself with department structures & internal procedures for assisting customers efficiently
Qualifications
  • Experience with Microsoft Office suite Word, Excel, also Google Docs is a plus
  • Available to work flexible hours on weeknights & weekends
  • Ability to communicate customers' interests needs and requests to management and personnel
  • Professional personal appearance
  • Clean driving record
  • Bilingual Spanish a PLUS!
